Position The Executive Support & Project Specialist provides advanced administrative and project management support to the Co‑Chief Legal Officers, enabling them to focus on strategic priorities. This role combines traditional executive support with analytical and project‑based responsibilities, requiring exceptional organizational skills, technical proficiency, and the ability to manage complex deliverables in a fast‑paced environment.
The ideal candidate will excel in designing Board‑quality presentations, building analytical models in Excel, and leveraging tools like Microsoft Copilot to streamline workflows. Success in this role demands proactive problem‑solving, attention to detail, and a strong sense of ownership.
Responsibilities
Project Coordination & Analysis
Track and report on key legal and compliance initiatives, deadlines, and deliverables; prepare status updates and ensure timely follow‑ups.
Use Excel to build and maintain budget trackers, dashboards, and analytical reports; apply advanced functions for data analysis.
Support special projects by gathering data, synthesizing insights, and preparing executive summaries.
Execute Legal & Compliance projects as requested.
Presentation Development
Design and produce high‑impact PowerPoint decks for internal and external audiences, ensuring clarity, consistency, and visual appeal.
Collaborate with leadership to translate complex concepts into compelling visuals and narratives.
Executive Support
Manage complex calendars, travel arrangements, and meeting logistics with precision.
Handle confidential information with discretion and professionalism.
Complete expense reports and manage vendor invoices.
Organize, coordinate, and prepare for various meetings, including reserving conference rooms, arranging for catering, preparing materials, scheduling key staff, and creating travel arrangements.
Maintain organized digital filing systems for legal and compliance records.
Technology Enablement
Stay current on Microsoft 365 tools and emerging technologies, including Copilot, to enhance productivity and efficiency.
Qualifications
Bachelor’s degree preferred
4–6 years of experience in executive support or project coordination within financial services or legal environments.
Advanced proficiency in PowerPoint and Excel (pivot tables, VLOOKUP, conditional formatting, charts).
Strong analytical and organizational skills with the ability to manage multiple priorities.
Excellent written and verbal communication skills.
Ability to work independently and collaboratively in a dynamic environment.

Compensation Range The anticipated base salary range for this role is $115,000 to $130,000. Base salary for the role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience, and may fall outside of the range shown. In addition, this role may be eligible for a discretionary bonus.
