Senior Confidential Executive Assistant - Office of the Senior Vice Chancellor for Legal Affairs and General Counsel
The Office of the Senior Vice Chancellor for Legal Affairs and General Counsel (“OGC”) at The City University of New York (CUNY) seeks an experienced and highly organized Senior Confidential Executive Assistant to support the Senior Vice Chancellor for Legal Affairs and General Counsel and the Associate Vice Chancellor for Legal Affairs and Deputy General Counsel. Reporting directly to the Senior Vice Chancellor for Legal Affairs and General Counsel, this pivotal role requires an initiative‑taking individual with strong legal administration experience, exceptional communication skills, and the ability to handle sensitive information with discretion. Ideal candidates will bring at least eight to ten years of legal administration experience and will manage a variety of administrative functions to contribute to the efficient operation of OGC.
Responsibilities
Provide high‑level administrative support to the Senior Vice Chancellor, the Associate Vice Chancellor, and Deputy General Counsel, facilitating communication between executive leadership and the Board of Trustees, the Chancellor’s Cabinet, and CUNY’s 26 constituent schools and colleges.
Schedule and coordinate meetings, conferences, and events; prepare agendas and meeting materials; maintain an ongoing calendar of reports, deadlines, and key dates.
Attend meetings as needed, take minutes, and distribute summaries to relevant parties.
Draft, review, and edit correspondence, reports, and other legal documents; prepare and distribute internal and external communications.
Coordinate executive communications requiring high sensitivity; respond to requests from the Board of Trustees, the Chancellor, and external public inquiries.
Manage sensitive, confidential, and privileged information with utmost discretion across all office operations.
Monitor project timelines and deliverables to ensure completion within established deadlines.
Collaborate with administrative staff within OGC and across the University to support overall mission and objectives.
Participate in training and development opportunities to enhance skills and knowledge.
Perform related duties as assigned.
Qualifications
Minimum : Bachelor's degree and eight years of related experience.
Preferred :
At least 8‑10 years of executive‑level administrative experience, preferably supporting legal counsel, a senior university official, or in a legal, compliance, or non‑profit environment.
Ability to thrive in a fast‑paced environment, working on numerous projects simultaneously.
Strong work ethic, character, and personal integrity; professionalism, discretion, confidentiality, diplomacy, and building productive relationships.
Excellent judgment, accuracy, attention to detail, and strict confidentiality.
Strong communication, organizational, and follow‑through skills to prioritize work, manage multiple priorities, and meet deadlines.
Computer proficiency with Microsoft Office tools (Word, Excel, PowerPoint, Teams, etc.) and remote/virtual meeting and collaboration tools; willingness to learn new platforms.
Exceptional external and interpersonal communication, public presentation, and writing skills.
Proactive, flexible, initiative‑driven; exercise discretion and tact, use sound judgment to give advice, make decisions, and draw valid conclusions.
Strong organizational skills and ability to handle a large, varied workload with conflicting priorities.
Ability to produce results as an individual contributor and as a team member; collaborate effectively with diverse stakeholders at various levels.
