Job Summary
As an Administrative Assistant at our manufacturing plant, you will play a key role in ensuring smooth daily operations through effective clerical support, organization, and communication. You will assist the Plant Manager and leadership team with documentation, scheduling, and reporting while maintaining accurate records and supporting production and office operations. This position contributes directly to plant efficiency, compliance, and customer satisfaction.
Responsibilities
Provide administrative support to the Plant Manager and other staff members.
Prepare correspondence, reports, and other documents as needed.
Coordinate meetings, take minutes, and distribute action items.
Maintain accurate and organized records related to production, quality, and compliance.
Pull work orders daily and distribute them to the appropriate departments.
Prepare and update documentation for audits, safety reviews, and internal reporting.
Support data collection and recordkeeping in ERP and other business systems.
Conduct internal audits to ensure compliance with company policies, procedures, and regulatory requirements.
Assist with documentation and follow‑up actions to support continuous improvement initiatives.
Handle customer service inquiries professionally and provide timely updates on manufacturing work orders and delivery status.
Collaborate with operations and logistics teams to ensure customer requirements are met.
Perform data entry and reporting tasks with a high level of accuracy.
Maintain spreadsheets, logs, and tracking documents to support production and quality metrics.
Manage daily office operations, including ordering supplies, coordinating travel, and arranging guest visits.
Maintain an organized and professional office environment.
Required Experience
Excellent organizational and time‑management skills.
Strong attention to detail and accuracy.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Ability to communicate effectively with all levels of the organization.
Experience in data entry, filing, and general office administration.
Preferred Experience, Knowledge, Skills, and Abilities
Experience in a manufacturing or industrial environment.
Knowledge of ERP systems (J.D. Edwards preferred).
Familiarity with production or quality documentation processes.
Strong customer service and problem‑solving skills.
Education & Certifications
Associate degree preferred, or high school diploma with equivalent work experience.
Travel & Working Environment
Minimal travel required (less than 5%).
Primary work environment is an office within a manufacturing facility.
