Role Description
We are seeking a detail-oriented and highly organized Purchasing Coordinator & Data Entry Specialist to support our new home construction operations. This position plays a key role in managing purchasing activities, maintaining vendor relationships, and ensuring accurate data entry across multiple systems. The ideal candidate has strong attention to detail, excellent communication skills, and a solid understanding of residential construction processes.
Key Responsibilities Purchasing Coordination
Issue and manage purchase orders (POs) for materials, labor, and services across multiple projects.
Review and verify vendor quotes, ensuring pricing accuracy and budget compliance.
Coordinate with construction managers, superintendents, and trade partners to resolve discrepancies or material shortages.
Monitor cost changes, substitutions, and variances for approval and documentation.
Data Entry & Administrative Support
Enter and maintain purchasing data in the company’s ERP or construction management system.
Update product pricing, SKU numbers, and vendor contact information.
Maintain digital and physical filing systems for POs, invoices, and job costing reports.
Support accounting with PO/invoice matching and discrepancy resolution.
Collaboration & Communication
Work closely with the construction, design, and accounting teams to ensure all purchasing data is accurate and aligned with project needs.
Communicate effectively with trade partners and suppliers to resolve issues or delays.
Participate in regular team meetings to provide updates on purchasing status and inventory control.
Qualifications Required
High school diploma or equivalent; associate degree in Business, Construction Management, or related field preferred.
Strong computer skills, including proficiency with Microsoft Excel, Word, and Outlook.
Experience using construction or purchasing software systems preferred.
Excellent organizational and time management skills.
Strong attention to detail and accuracy in data entry and documentation.
Effective written and verbal communication skills.
Preferred
Knowledge of homebuilding materials, vendors, and construction terminology.
Experience with ERP systems such as BuilderTREND.
Familiarity with job costing and budgeting processes.
