The Program Coordinator plays a key role in supporting the operations and academic mission of the College of Arts and Sciences (CAS), specifically within the Departments of Engineering & Physics and Math & Computer Science. Grounded in Whitworths commitment to academic excellence and whole-person development, this role ensures efficient coordination of academic programming, faculty support, student engagement, and administrative functions. The Program Coordinator helps advance Whitworth Universitys mission to provide high-quality, Christ-centered education and joins a community of belonging where creativity and learning thrive.
Administrative Support | 35%
- Coordinate department operations related to program reviews, accreditation, and publications.
- Support department chairs with course scheduling, contract load preparation, and academic catalog updates.
- Assist in onboarding new faculty and returning adjuncts/lecturers.
- Facilitate scholarship processes including collecting, organizing, and distributing information.
- Plan and manage departmental events, guest lectures, and academic activitiesbooking travel, processing contracts, and coordinating logistics.
- Assist with faculty hiring by coordinating candidate visits and travel arrangements.
- Support communication efforts between faculty and students via flyers, Blackboard, and email.
- Take and distribute accurate meeting minutes for department meetings.
Supervision & Fiscal Operations | 35%
- Hire, train, and supervise student workers; manage onboarding, timecards, and communications.
- Track departmental and program budgets; support financial forecasting and advise on purchases.
- Process reimbursements, check requests, and purchase orders; complete faculty purchasing card reports.
Office & Facilities Coordination | 25%
- Serve as liaison to university offices (Registrar, IT, Bookstore, Business Office, etc.) to support departmental needs.
- Coordinate classroom, office, and building-specific needs; act as designated building monitor.
- Maintain office supply inventories and department workrooms, including printer upkeep.
- Provide basic tech and equipment support using Microsoft Office, internet tools, and office machines.
- Manage department records, including electronic and physical filing systems.
- Oversee textbook, desk copy, exam copy, and library material ordering processes.
Other Responsibilities | 5%
- Collaborate with other College of Arts and Sciences program coordinators on shared initiatives.
- Perform other duties as assigned.

- 1-3 years of administrative experience in a higher education or similar environment, or transferable experience in roles requiring coordination, communication, and logistical support.

- A commitment to the educational mission of Whitworth University as a comprehensive Christian liberal arts university affiliated with the Presbyterian Church.
- Knowledge of current academic, business, and administrative practices and procedures.
- Able to manage multiple tasks, maintain accurate records, and ensure smooth day-to-day operations.
- Demonstrates clear, professional communication across a range of stakeholders including faculty, students, and staff.
- Anticipates challenges and proactively identifies solutions in a collaborative way.
- Comfortable using standard office software and learning new tools or systems.
- Experience working in a college or university setting.
- Familiarity with academic operations such as scheduling, budget tracking, or faculty support.
- Experience supervising or coordinating student workers.
- Associates or bachelors degree.

Whitworth office hours are 8 AM to 4:30 PM Monday Friday
