Job Title Transportation Coordinator

Overview The Transportation Coordinator accurately handles freight processes for domestic (and some international) shipments, ensuring on‑time delivery, monitoring bills of lading, maintaining compliance records, and supporting freight quoting. The role supports operations across multiple divisions and coordinates with internal drivers and external vendors.

Responsibilities

Coordinate and schedule inbound and outbound loads, transfers of raw materials and finished goods between divisions, business units, or plants using internal drivers and external vendors.

Maintain, review, and approve bills of lading and other freight documents for accuracy.

Prepare, review, and maintain accurate records, DOT government filings, and other data related to freight to ensure record retention and DOT compliance.

Maintain the freight billing tracking system, update past‑due items, and provide periodic reports to management.

Assist at the reception area, acting as a backup to the receptionist for the main CTB switchboard when needed.

Collaborate with customers and the Customer Service department to provide freight quotes and ensure cost‑effective options.

Qualifications

Education: High School Diploma or GED preferred; equivalent coursework and work experience acceptable.

Experience: 2+ years of clerical and shipping experience; knowledge of LTL trucking processes helpful.

Skills: High attention to detail, strong math, ability to multi‑task, prioritize, organize, and meet deadlines.

Technical: Intermediate Microsoft Office skills.

Communication: Excellent written and verbal communication with external vendors and internal partners at all levels.

Leadership/Behavior: Team‑player, flexible under pressure, and capable of training and mentoring others when needed.

Culture: Conceptual thinker, collaborative, energetic, and committed to ethical standards.

Physical Requirements

Stand up to 4+ hours and sit at a desk for 6+ hours per day.

Operate keyboard and view computer screen for the majority of the day.

Write information in logical flow for up to 6 hours per day.

Read, write, and speak fluent English.

Perform frequent bending, reaching, kneeling, squatting, twisting, pushing, pulling, standing, walking, stooping, crouching, and carrying items.

Lifting up to 10 lbs. sporadically.

Environment & Travel

Primary work setting: normal office, moderate noise, climate‑controlled environment.

Occasional exposure to manufacturing departments; may require PPE.

Travel: None.
