Base pay range

$26.41/hr - $31.69/hr

Position summary

Provide high level administrative, calendar, budget, meeting, and project coordination support to the Assistant General Manager and the Public and Intergovernmental Affairs team. Serve as a central point of contact for stakeholders and help keep departmental operations running on schedule.

Key responsibilities

  • Manage complex calendars, meetings, travel, and follow ups for the executive
  • Prepare correspondence, agendas, minutes, and maintain organized digital and physical files
  • Process invoices, POs, credit card reconciliations, and track departmental budgets and variances
  • Coordinate memberships, sponsorships, contracts, and vendor compliance with procurement
  • Support team meetings and cross departmental projects, ensuring timely communication
  • Order supplies, handle mail and calls, and uphold office procedures and standards

Qualifications

  • Strong business writing, grammar, and document production skills
  • Advanced proficiency with Microsoft Office and common office systems
  • Outstanding organization, time management, tact, and diplomacy
  • Public sector budget, AP, or agency experience is a plus
  • Professional certifications such as CPS or CAP are a plus
