Full-Charge Bookkeeper & Finance Administrator

About the Role We’re a fast-moving product company looking for a sharp, trustworthy financial operator to take full ownership of our internal finance systems. You’ll manage payments, reconcile accounts, handle payroll, and keep our QuickBooks and Quantum (internal operating system) airtight. You will be the backbone of our financial operations. This is a solo role for someone who thrives in a startup environment, knows how to set up clean systems, and isn’t afraid to take charge.
Responsibilities Accounts Payable & Vendor Management
Review, verify, and record vendor invoices in QuickBooks
Submit payment approvals and process checks, ACH, wires, and credit card payments
Maintain vendor statements and submit commercial invoices for balance payments
Monitor bank balances and request funding weekly
Manage credit card expenses, reimbursements, and 1099 filings
Accounts Receivable (Internal Only)
Record and apply payments in QuickBooks and Quantum
Investigate and document chargebacks and deductions
Handle credit memos, disputes, and write-offs (no customer-facing invoicing)
Payroll & HR Coordination
Verify attendance and process biweekly payroll and contractor payments
Assist with onboarding coordination and employee issue tracking
Month-End & Quarter-End Close
Prepare journal entries, accruals, and reconciliations across AR, AP, inventory, loans, and payroll
Review trial balances and financials before management review
Submit inventory borrowing certificates and royalty/commission reports
Systems & Compliance
Maintain accurate cost data and perform inventory adjustments in Quantum
Respond to auditors and ensure internal control compliance
Support licensor reporting and office policy updates
Office Administration (Finance-Related)
Manage office supplies and support finance-related admin tasks
Requirements
3–5+ years experience in bookkeeping or finance administration
Strong QuickBooks and Excel skills; Quantum experience a plus
Detail-oriented, discreet, and highly organized
Able to work independently and build systems from scratch
Experience in wholesale, or product-based businesses preferred
