Position Summary
The People & Culture Total Rewards Specialist manages the day-to-day administration of employee benefits, leaves, People & Culture systems, and compliance reporting. This role ensures seamless People & Culture operational processes, accurate data management in HRIS systems, and a positive employee experience across benefits, wellness, and recognition programs. The position also plays a key role in maintaining compliance with federal and state reporting requirements, supporting audits, and contributing to People & Culture process improvements
Essential Duties & Responsibilities Benefits Administration
Manage daily administration of health, dental, and vision benefits, as well as STD, LTD, Life, AD&D, Workers Compensation, and supplemental insurance programs.
Oversee COBRA processes, ensuring compliance with federal regulations.
Conduct weekly benefits integration reviews and resolve discrepancies or action issues.
Coordinate annual Open Enrollment process, including vendor communications, systems preparation and employee education.
Prepare and file 5500 reports and ensure compliance with ERISA and related regulations.
Manage 401(k) integrations and review action issues.
Leave and Time Off Administration
Administer FMLA, ADA, and state leave programs, ensuring documentation accuracy and policy adherence.
Maintain employee benefit and leave files; update employee records in HRIS and payroll systems.
Support time-off tracking, approvals, and reporting in alignment with company policy.
Compliance and Reporting
Ensure compliance with EEO-1, VETS 4212, AAP, EEO1 CA, and other required federal/state reports.
Maintain up-to-date labor law posters and ensure distribution to all work sites.
Partner with Legal and People & Culture leadership on handbook and policy revisions and data audits.
Conduct ADP validation table updates, manage ADP uploads, and maintain ADP security protocols.
Payroll & HRIS Systems Support
Partner with Payroll to ensure accurate benefits deductions and data integrity.
Oversee ADP HRIS setup and partner on additional initiatives supporting Merit, MBO, and Promotion cycles to ensure smooth execution and process accuracy.
Support LMS administration (and employee development tracking.
Maintain and update BioSphere content management (intranet resources).
Employee Programs & Recognition
Coordinate employee engagement and recognition programs such as Core Value Shoutouts, Spirit Awards, Anniversary Pins, and Birthday Gift Cards.
Lead the administration and ongoing evolution of the Tuition Reimbursement and Wellness Program initiatives, including planning and executing Thrive wellness events, managing wellness vendors and partnerships, and driving employee engagement in overall well-being programs
Manage the Holiday Calendar and support internal communications related to employee programs.
Data, Reporting, and Analytics
Prepare and analyze People & Culture metrics and dashboards, including turnover (TO), Workplace movement, and headcount (HC).
Support job evaluations, merit and promotion cycles, and data audits to ensure equity and accuracy.
Support stock options administration and related data management.
Skills & Abilities Essential Duty Definition:
Bachelor’s degree in HR, Business Administration, or related field, preferred.
5+ years of progressive experience in People & Culture operations, benefits administration, or total rewards.
Strong knowledge of FMLA, COBRA, ERISA, HIPAA, and federal/state compliance requirements and employment laws
Proficient with ADP Workforce Now or similar HRIS and payroll systems.
Experience with EEO and Affirmative Action reporting, LMS platforms, and data auditing.
Strong analytical and organizational skills, with a focus on process improvement.
Excellent interpersonal and communication abilities.
Exposure to HR transformation initiatives or systems implementations.
