This includes the maintenance of general and subsidiary ledgers, preparation of budgets, operating and financial statements, and reconciliation of accounts, AR/AP functions, fixed assets and depreciation, and may include payroll.

Financial Leadership
• Serve as a member of the Channel One leadership team attending and preparing reports for board meetings, finance committee meetings, and leadership team meetings.
• Provide financial leadership, communicate recommendations to the Executive Director, Finance Committee, and Board of Directors.
• Act as a proactive partner, providing expert advice and guidance to the organization’s stakeholders.
• Recommend and prepare finance policies as requested by the Executive Director and finance committee.
• Coordinate with financial advisors and communicate recommendations regarding financial planning to the Executive Director and finance committee.
• Formulate, train, and ensure organization-wide compliance with accounting policies, procedures and internal controls.
• Lead budget creation process, management, and analysis.
• Provide budgets for projects as required by government contracts and grantors.
General Accounting
• Prepare monthly financial reports; balance sheets, income statements, cash flow statements, and budget forecasts and analyses for Executive Director and Board to track and report financial activities, status of funds, inventory, capital expenses, and investments.
• Manage the accounting functions including providing training and day-to-day oversight for systems, transaction processing, approvals, files, chart of accounts and general ledger maintenance, A/R, A/P, payroll, and management of $9M+ total budget.
• Ensure accounts payable, expense reports, and disbursements comply with operating procedures to control expenses; communicate procedures to staff members for compliance. Allocate and post transactions to subsidiary accounts in general ledger and Ceres system.
• Manage third-party automated accounts payable system, including vendor management, staff access and training, system upgrades-enhancements, and troubleshooting issues.
• Manage cash flow of various bank accounts. Forecast daily cash position and initiate transfers as needed.
• Manage accounts payable and disbursement process including: reviewing invoices for data entry accuracy, supporting documentation and approval, posting invoices, processing weekly check run and managing and submitting Positive Pay file to bank.
• Collaborate with Development and Operations teams to reconcile donor revenue to general ledger accounts (including non-food in-kind); ensure revenue numbers are accurate for reporting purposes and troubleshoot to resolve any issues.
• Oversee reconciliation of donor management system.
• Prepare month-end schedule to ensure deadlines are met and journals completed in a timely manner.
• Reconcile general ledger accounts and prepare related journal entries including: bank investments, payroll, liability, fixed assets, revenue, and expenditures.
• Maintain proper accounting of fixed assets and related records.
• Oversee tracking of restricted funds and communicate with staff to ensure funds are spent in accordance with applicable deadlines.
• Prepare depreciation schedules.
• In coordination with staff, manage $1.6+ in contracts with government agencies, subcontractors, and partners including TEFAP and CSFP.
• Provide various investment, revenue, and payroll analysis reports to the Executive Director.
Compliance and Audit Coordination
• Manage annual audit supplying necessary materials and answering questions for the annual audit performed by an outside firm.
• Prepare annual 1099s.
• Prepare all asset and liability supporting schedules.
• Prepare fixed assets analysis.
• Communicate recommendations regarding audit and tax planning coordination.
• Oversee and monitor grant revenue process to ensure accurate and timely receipt-deposit of payments in accordance with established standards.
• Bachelor’s degree in accounting, with minimum five years of leadership experience in finance or business administration required.
• Experience in or knowledge of nonprofit accounting, including fund and grant accounting and compliance.
• Proficient knowledge of accounting principles and practices, GAAP and auditing.
• Strong computer skills, including advanced proficiency in MS Office Suite (Outlook, Word, Excel) required.
• Ability to perform queries, compile data and generate reports.
• Experience with Microsoft Navision Ceres, Paylocity, Stampli, or other automated accounts payable, accounting and payroll systems.
• Strong strategic thinking and problem-solving skills, with highly developed interpersonal skills and the ability to build collaborative, trust-based relationships.
• Clear and effective communicator with excellent presentation and writing skills.
• Well-disciplined self-starter, able to manage multiple projects, meet deadlines, and achieve goals.
• Demonstrated ability to work responsibly and ethically with highly confidential information.

Channel One Regional Food Bank (“Channel One Inc.”) is seeking proposals from qualified accounting firms to provide comprehensive accounting and financial analysis services.
Channel One Regional Food Bank is a 501(c)3 organization with cash revenue of $6 million in fiscal year 2024 and donated food valued at $18.9 million. As of June 30, 2024, the Food Bank had $8.5 million in assets including fixed assets of $2.5million. The Food Bank has a June 30th fiscal year end. The organization is governed by a voluntary Board of Directors. The Food Bank’s mission is “To strengthen food access and build healthy communities with a vision that every community in our region is food secure.” Channel One serves people experiencing hunger in 14 counties in southeastern Minnesota and western Wisconsin through a network of 200 food shelves, pantries and programs.

2. Background: The organization has outsourced accounting and finance services for the past four years. The annual operating budget exceeded $ 8 million (2024-25) and is supported by monetary donations, in-kind donations, government contracts, grants and investment income. Accounting services work has ranged from 32-40 hrs. per month with additional time at year-end for account reconciliation and miscellaneous year-end work as well as audit assistance. Channel One staff have all statements, documents and month end work completed by the 10th of each month so that monthly financials are prepared by the fifteenth day of each month in advance of finance committee meetings. Currently Channel One uses Ceres (Microsoft Dynamics 365 NAV), which is food bank specific software as its accounting CRM.
