Executive Assistant Scion Nonprofit Staffing has been engaged to conduct an immediate search for an Executive Assistant for our client, a highly regarded organization in San Francisco, California. This is a full‑time, contract, on‑site position with benefits.

What you’ll be doing:

Maintains the President’s complex calendar, coordinating meetings, donor visits, travel, logistics, and itineraries to maximize time and efficiency.

Prepares the President with necessary materials and information for meetings, conferences, and field visits, communicating with staff to ensure smooth operations.

Plans, organizes, and executes committee and board meetings, including tracking action items, preparing materials, maintaining records, and following up with stakeholders.

Serves as a liaison to all departments and the Board of Directors, providing administrative support, drafting correspondence, and facilitating communication.

Coordinates scheduling follow‑ups with donors, prospective donors, and partners in collaboration with Development staff.

Handles incoming correspondence (voice, paper, and electronic), routing and responding as appropriate, and maintains organized files and records.

Prepares minutes of Board and committee meetings, maintains records of actions, and supports board member orientations and special events.

Provides general administrative support, including word processing, data entry, file management, and interoffice coordination.

Schedules recurring meetings for the Management Team, staff, and multiple departments while prioritizing deadlines and ensuring alignment with organizational goals.

Conducts research, identifies issues proactively, and works collaboratively with staff to implement solutions and support business objectives.

Qualifications:

5 years of relevant experience in a nonprofit setting preferred.

Experience establishing professional relationships with donors, staff, and volunteers; significant experience being an effective collaborator with senior management, Board members, and staff required.

Demonstrated experience coordinating and/or managing the logistics of events or meetings.

Compensation: This opportunity offers a pay rate of 40 dollars per hour plus a comprehensive benefits package.
