Payroll Administrator – Benefits and Payroll Team
The Payroll Administrator works with a team of engaged professionals supporting the diverse activities of a worldwide Church with a mission to bless humanity. This position is an integral part of the Church’s Benefits and Payroll team responsible for the timely and accurate processing of U.S. and global payrolls while ensuring compliance with federal, state, national, and provincial regulations as well as company policies. The role provides essential support to employees on all payroll matters and maintains confidentiality of sensitive information.
Essential Duties and Responsibilities
Process U.S. and global payrolls for the entire organization.
Maintain employee master files (electronic and paper), update payroll records and review payroll changes.
Set up new U.S. and global employee payroll files, researching and ensuring compliance with state, local, national and international regulations in collaboration with HR and OGC.
Process and audit bi‑weekly multi‑state payrolls and monthly global payrolls, including time and attendance, direct deposits, and manage other types of pay requests (manual checks, honorariums, translation pay, etc.) promptly.
Set up and maintain special (garnishments, etc.), regular withholding (taxes, etc.) and other deductions, including benefit deductions.
Ensure accuracy and compliance with local, state, federal tax regulations and nationally mandated deductions for other countries and company policies.
Perform quarterly and annual state tax filings, provide payroll‑related reporting, and research, implement new state and local tax registration for payroll withholdings.
Reconcile payroll and retirement/national pension registers for each payroll and transfer to external administrators.
Monitor and investigate all bank transactions.
Communicate with payroll providers, third‑party vendors and employees to research and resolve payroll issues in a timely manner.
Research and resolve problems using HRIS and third‑party systems (UKG, ADP, PlanSource, TIAA), analyze unexpected results for process improvements, recommend solutions, and perform scheduled activities.
Maintain and support a variety of reports or queries using appropriate reporting tools, ensuring data integrity across systems.
Train employees and managers on new processes and functionalities in the payroll system (UKG) and benefits system (PlanSource). Responsibilities include:
Timesheet entry and approval.
PTO entry and approval.
Entering or changing benefits for new employees or life events.
Assisting employees during Open Enrollment with entry issues.
Addressing changes such as banking information.
Provide administrative assistance to the department and participate in internal and external data audits and special projects.
Work collaboratively in a team‑oriented environment.
Education & Experience
Bachelor’s degree in Accounting or Finance.
Certification in payroll administration or 3‑5 years of equivalent payroll work experience.
Knowledge, Skills, & Technology Competencies
Strong numerical aptitude and attention to detail.
Proficiency in payroll software systems (UKG, ADP, PlanSource, TIAA). Knowledge of Microsoft Office (Word, Excel, PowerPoint) is required.
Excellent communication skills and customer service ability to support worldwide employees.
Ability to maintain confidentiality of all information, data, and systems.
Work Environment & Additional Requirements
Regular office work at The Mother Church in Boston, MA.
Membership in The Mother Church is preferred.
Position requires completion of a background check upon hire and annually thereafter.
Pay range: $76,025.00 – $98,832.20 annually.
In compliance with federal law, all persons hired must verify identity and eligibility to work in the United States and complete the required employment eligibility verification form upon hire.
Reporting Relationships Supervisor: Benefits and Payroll Manager. No direct supervisees.
