Description We are looking for a skilled Legal Secretary to join a midsized firm in the East Bay. This role requires a detail-oriented individual with substantial experience in litigation matters, ideally with exposure to labor and employment cases. You will play a critical role in supporting attorneys through administrative tasks, document preparation, court filings, and calendar management. Responsibilities:
- Draft and format legal documents, including correspondence, reports, pleadings, and memoranda, using word processing software.
- File legal documents electronically and physically with district and federal courts, as well as administrative agencies, ensuring compliance with rules and deadlines.
- Manage schedules and deadlines by maintaining calendar and docket systems, sending reminders, and organizing appointments.
- Handle incoming phone calls, take detailed messages, and route calls appropriately.
- Coordinate outgoing mail and deliveries to ensure timely distribution.
- Organize and maintain client files, ensuring all documents are appropriately indexed and accessible.
- Assist with travel arrangements, including booking flights, accommodations, and other logistics.
- Conduct research on state and federal court rules and procedures as needed.
- Train new team members on office procedures and specialized software.
- Communicate with courts, clients, co-counsel, opposing counsel, and arbitrators to schedule hearings, arbitrations, and other events.
- A minimum of 3 years of experience handling litigation matters; labor and employment experience is a plus.
- Proficiency in Microsoft Office tools, including Word, and familiarity with legal templates and formatting.
- Strong knowledge of e-filing processes for district and federal courts, as well as administrative agencies.
- Excellent multitasking skills, especially under pressure and tight deadlines.
- Ability to compose detailed and accurate correspondence and proofread documents for grammar, punctuation, and spelling.
- Familiarity with creating tables of contents, trial exhibits, and other legal documentation.
- Competence in managing calendars and scheduling appointments.
- Physical ability to handle packages weighing up to 20 pounds and access items stored on high shelves
