Department Overview:

The Division of Undergraduate Education supports students in a living‑learning community. The Educational Partnership Center (EPC) offers programs such as Cal‑SOAP, COSMOS, CCRC, EAOP, GEAR UP, MESA, ETS, GIE, and Access Program to increase post‑secondary access.

Job Summary The EPC Special Projects Coordinator will plan, coordinate, and implement the 7th Grade College and Career Middle School Summit at UCSC, coordinate activities with EPC and UCSC Office of Admissions, develop training framework for College Facilitator/Academic Coordinator, and assist with other EPC-wide projects.

Appointment Information Budgeted Salary:

$33.79 – $34.54 per hour (salary commensurate with qualifications).

Job Duties 60% – Program & Operations Coordination

Coordinate purchasing, reimbursements, invoices, and travel requests following UCSC and EPC policies.

Track financial transactions, reconcile expenditures, and prepare summary analyses and reports.

Serve as a resource to EAOP/Access staff on accounting, purchasing, travel, and operational procedures; resolve issues, develop reference materials, and provide training.

Coordinate logistics for EAOP/Access events such as Senior Odyssey, Youth Leadership Council Retreat, Transition to High School programs, A‑G Partnership Summits, family/alumni events, staff trainings, and Advisory Council meetings.

Prepare run‑of‑show documents, manage venues, transportation, catering, and supplies; provide day‑of event coordination.

Provide administrative support to the Program Director and staff (scheduling, correspondence, meeting logistics, documentation).

Maintain accurate records, communication systems, and internal processes for effective collaboration and compliance.

Support EPC‑wide administrative initiatives and liaison to campus departments for consistent policy implementation.

Ensure transportation, meals, facilities, and supplies are secured and ready.

20% – Family, Community & Partner Engagement

Support organization of Family Workshops (materials, logistics, coordination with site staff).

Support pilot development and implementation of a Family Ambassador Program.

Cultivate and maintain alumni, employer, and community partnerships for student field trips and enrichment opportunities.

Provide project coordination for major community and partner events such as A‑G Summits, family engagement nights, and EPC‑wide convenings.

Assist with evaluation and trend analysis of family engagement efforts.

Collaborate with EPC leadership and district partners to ensure culturally responsive, data‑informed engagement.

Occasionally travel to UCSC, Pajaro Valley USD, Monterey Peninsula USD, Gonzales USD, Soledad USD, and NMCUSD sites.

20% – Communications & Storytelling

Develop and distribute Quarterly Program Newsletter with photos, student interviews, site highlights, and data stories.

Develop and distribute a Quarterly Family Resource Bulletin featuring bilingual resources.

Curate stories, photos, and testimonials from students, families, partners for reports and stakeholder engagement.

Maintain and update program content across communication platforms (web, social media, newsletters, print).

Maintain archive of communication materials for reports, presentations, grant narratives.

Required Qualifications

Bachelor’s degree in related area or equivalent experience/training.

Experience with administrative operational activities (event planning, purchasing, accounting, payroll, contracts).

Demonstrated project management with efficiency, prioritization, and minimal direction.

Strong interpersonal skills coordinating complex logistics across stakeholders.

Excellent verbal communication with all levels of staff, faculty, alumni, students, and external constituencies.

Excellent written communication; ability to produce clear newsletters, bulletins, reports; experience developing outreach materials.

Data literacy and computer proficiency; experience with Microsoft Office, Google applications, graphics software, communication tools, databases, email, web research tools.

Experience building partnerships with schools, community organizations, and local agencies.

Strong organizational skills and multitasking in high‑interruption environment.

Attention to detail in documentation, participant data, follow‑up communications.

Preferred Qualifications

Experience in a higher education institution.

Bilingual Spanish strongly preferred.

Familiarity with EPC processes, protocols, and procedures.

Knowledge of university rules, regulations, computer programs, tools.

Strong public speaking and facilitation skills with comfort leading multilingual workshops.

Deep understanding of first‑generation, immigrant, and mixed‑status family experiences.

Special Conditions of Employment

Hybrid work schedule; must work remotely and at UCSC telecommuting agreement.

Variable schedule including evenings and weekends.

Travel to multiple work locations on and off campus.

Maintain professional appearance and conduct.

Complete mandatory training within set timeframes, including UC compliance training.

Compliance with University of California Vaccination Policy.

Required to report child abuse or neglect per CANRA and sign Statement; access to definition and code provided.
