About The Opportunity
Our client, a respected boutique investment firm located in downtown Boston, is seeking an experienced Office Manager to join their close-knit team. As the Office Manager, you will serve as the operational backbone of the firm. Ensuring the office runs smoothly, managing administrative workflows, supporting senior leadership, and representing the firm with the highest level of professionalism. This position requires exceptional organizational skills, discretion, and the ability to anticipate needs in a dynamic investment setting.
Key Responsibilities
Oversee daily office operations, including facilities management, vendor coordination, and office supply inventory.
Serve as the first point of contact for visitors, clients, and service providers. Maintaining a polished and professional office presence.
Support firm leadership with administrative tasks such as scheduling, travel arrangements, expense reporting, and correspondence.
Coordinate internal and external meetings, including investor events and board meetings.
Manage document flow, filing systems, and compliance‑related administrative processes.
Assist with HR coordination, including onboarding, benefits administration, and liaising with external payroll providers.
Work closely with accounting and operations staff on invoice processing, expense tracking, and budget oversight.
Uphold confidentiality and discretion at all times when handling sensitive information.
Qualifications
5+ years of experience in an office management or senior administrative role, ideally within finance, private equity, investment management, or professional services.
Exceptional organizational and multitasking abilities; strong attention to detail.
High emotional intelligence and professional presence.
Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and comfort with CRM or document management systems.
Ability to work both independently and collaboratively in a small‑team environment.
Discretion and sound judgment when handling confidential information.
