Our client, a top New York City law firm, is seeking an Executive-Level Legal Administrative Assistant. This position is on site at their beautiful office in Midtown Manhattan. The role involves providing administrative and secretarial support to the executives and other attorneys.

Job Details

  1. Interact in person and over the phone with top executives across multiple time zones.
  2. Manage international travel arrangements, conference attendance, and client meetings.
  3. Handle scheduling and email management consistently.
  4. Maintain confidentiality of firm and client information.
  5. Prepare and edit documents, maintain files, and handle client billing.
  6. Manage expense reports extensively.
  7. Provide team coverage when other Legal Administrative Assistants are unavailable.
  8. Perform duties that may be ongoing or ad hoc as required.
  9. Execute other responsibilities as assigned to meet the role's needs.

Skills and Qualifications

  1. At least 5 years of executive-level administrative experience, plus 5 years of general secretarial experience, with proficiency in relevant tasks.
  2. Strong interpersonal and communication skills suitable for a high-volume, energetic environment.
  3. Proven problem-solving skills, combining logic, flexibility, creativity, follow-through, and client service.
  4. Proficiency in MS Word, Excel, PowerPoint, Outlook; familiarity with Intapp Time and Chrome River is a plus.
  5. Availability for overtime, including evenings and weekends.
  6. Flexibility to adjust schedules for attorney travel across US and international time zones.
  7. Excellent written and verbal communication skills and strong organizational abilities.
  8. Attention to detail and the ability to multitask and prioritize effectively.
  9. Ability to work independently and as part of a team.

Salary Range: $90,000 - $105,000 DOE
