The Job

This position will perform a range of administrative responsibilities that are necessary to run the sales and marketing department efficiently including providing high level support to the VP of Sales, the department team and other departments that work closely with the sales and marketing team.

Primary Responsibilities

  • Collect, review and analyze complex and/or confidential data to prepare reports, charts, budgets, and other presentation materials utilizing Word, Excel, Canva and other programs.
  • Organize, update and maintain digital files.
  • Manage databases for credentials and parking passes.
  • Prepare deal sheets and make Sales Module order entries for executed agreements.
  • Assist and support Sr. Director of Sales Operations including work on Pomona Raceway suites; annual Sponsor Summit meeting; trade shows (SEMA and PRI); year‑end awards banquet/ceremony.
  • Edit all documentation that is released from the sales department.
  • Coordinate and make schedules including travel and meetings for the team.
  • Compile and process expense reports for the team.
  • Process credential and parking requests/orders as needed.
  • Manage and keep client contact list up to date.
  • Answer and screen calls and respond to or route routine inquiries (external and internal) with appropriate correspondence or other messaging.

Minimum Skills/Experience/Education Requirements

  • High School Diploma.
  • Minimum of five years of related experience, preferably in a sales/marketing environment.
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint and database programs.
  • Proven experience, proficiency and accuracy working with database programs.
  • Excellent ability to communicate effectively with clients and all levels of management both in writing and verbally.
  • Ability to exercise discretion, independent judgment, work independently and maintain a high degree of confidentiality.
  • Ability to follow established procedures associated with the specific job function.
  • Must be available to work non‑business hours, including weekends as needed, and do light local travel.
  • Ability to work in a fast‑paced environment with changing priorities.
  • Strong organization and time‑management skills.
  • Ability to collaborate with sponsors and colleagues in a fast‑paced environment.

Physical Requirements

  • Ability to work at a computer all day.
  • Ability to talk on the phone as needed.
  • No heavy lifting required.
