Responsibilities
Process incoming refill requests from pharmacies via fax or electronic means, ensuring each request complies with written protocols and documentation requirements.
Analyze EMR chart notes, check for required laboratory tests, review renewal requests, and verify that patients have a participating PRAC provider and documented appointments.
Notify prescribing providers or other relevant parties when protocol criteria are not met, including laboratory/monitoring parameters.
Accurately document all refill decisions in the EMR, provide daily counts to the supervising pharmacist, and ensure all refills are processed within 48 hours.
Update patients on the status of their refill requests via phone or portal, answer inquiries professionally, and use phone scripts and clinical decision trees to determine if a refill can be renewed or must be forwarded.
Resolve call issues on the first contact, escalating to the pharmacy manager when necessary.
Perform other duties as assigned.
Required Qualifications
High school diploma or equivalent.
Graduation from an accredited Pharmacy Technician School.
Minimum 2 years of experience working in retail or specialty pharmacy settings.
Self‑motivated with minimal supervision; able to seek assistance when needed.
Proficient in pharmacy calculations, fax machines, photocopiers, and voicemail systems.
Familiarity with Electronic Health Records (EHR); computer skills in Microsoft Word, Excel, and PowerPoint.
Ability to follow written medication protocols, perform refill quantity calculations, double‑check dosing, and route for use against physician orders.
Knowledge of electronic communication methods, including email and e‑prescribing capabilities.
Adaptability to change and ability to work in a fluctuating team environment.
Excellent customer service modeling.
Preferred Qualifications
Bachelor’s degree in a health‑related field; advanced degree preferred.
Required Licenses/Certifications
Active California Pharmacy Technician license (CPhT) in good standing.
Fire and Life Safety Training (LA City); card to be obtained within 30 days of hire if not already possessed.
