Job Overview The millwork sales coordinator provides support to inside and outside sale staff improving departmental accuracy, efficiency and profitability. The job will require deep knowledge of the products we sell and the ability to check for potential errors and omissions on ‘final’ orders provided by the sales staff. As a core member of the millwork sales team you will need a professional attitude when working with coworkers and may need to communicate directly with customers; responsiveness and follow through are critical. You will need strong computer skills to process and research orders. Aside from the critical function of checking and placing customer orders with vendors, you may be asked to fill in for or provide support to the service coordinator or receptionist as well as some purchasing and marketing responsibilities. You may also need to fill in on the sales floor to answer customer questions although you would not be expected to carry out the entire sales process unless it was a very quick sale.

Basic Responsibilities

Review made to order sales orders for completeness and identify potential issues that may result in the need to reorder product or unsatisfied customers. This includes Truitt and White door shop orders

Certify that all documentation is correct including customer sign offs

Complete and submit orders to vendors with all necessary information and in such a way that minimizes lead times and cost

Complete and submit Truitt and White documents such as sales orders and purchase orders to facilitate information look up by other employees

Maintain files for outside sales people

Understand project requirements and budgets

Work with product reps as needed, organize and maintain contact information

Work with service department as needed

Participate in ongoing product knowledge development

Work with management as needed

Follow up with customers on active orders as needed

Work with door shop as needed

Create purchase orders

Update purchase orders

Work with the receiving department as needed

Work with the dispatch department as needed

Work with the credit department as needed

Participate in after-hours sales meetings/training as needed

Participate in customer sponsored events as needed

Go to a jobsite if needed

Provide coverage to the receptionist position as needed

Provide showroom sales coverage as needed

Provide coverage to the service department as needed

Provide administrative support to the department as needed

Qualifications and Requirements

Education:

college is a plus

Work Experience:

5 years in customer service sales rolls preferably within the building products or millwork industry

Computer Skills:

Proficient in Microsoft office based products and Point of Sale systems

Language Skills:

Proficient in English reading, writing and speaking and uses professional business grammar, communicates in a friendly and helpful manner, fluent in Spanish is a plus

Math Skills:

add, subtract, multiply and divide using whole numbers and fractions and compute rates ,ratios and percent’s

Physical Demands:

Able to sit or stand for extended periods, converse with people in person and by phone, use a computer, bend and kneel occasionally, walk on uneven ground, walk up stairs, reach and grasp and use tools like a tape measure, ride in and/or drive a car, occasionally be around noisy equipment, lift up to 30 pounds occasionally, work inside or outside, travel

Mental/Emotional Demands:

Able to work closely with others in a team environment, work within deadlines and time constraints, work with demanding people or stressful situations while maintaining a positive attitude

Licenses:

Current class C CDL and maintain an insurable driving record

Training:

Some ongoing product training will be required that may involve traveling to the supplier or manufacturer. In house training will be provided on a timely basis and may require mandatory after-hours participation.

Work Schedule:

8am to 4:30pm Monday –Friday and some Saturdays 8am-12 noon, overtime will be used as needed.
