Opportunities at other Organizations / Parishes / Dioceses, not with the Archdioceseof Chicago Receptionist/Data Input Coordinator serves as support staff for the National Development Office. This person will assist in promoting the mission and ministry of the Sisters of the Holy Family of Nazareth through various development office functions and implementing the goals and objectives of the Development Office. The primary responsibilities include administrative/secretarial tasks and database input.

Essential Duties & Responsibilities

Extends hospitality to office guests/vendors and resolves or refers administrative problems and inquiries to the staff member, while exhibiting a professional business etiquette in all matters.

Has a working knowledge of The Raiser’s Edge. Verifies and inputs new donor data, including demographic, donation, membership, and personal information.

Acknowledges donor gifts and coordinates Spiritual Greeting Card, Novena and Oplatki mailings to donors.

Processes credit card transactions and handles money.

Proficient with Microsoft Office software, especially Word and Excel. Manipulates data to produce specialized letters, mailing lists, labels, and reports. Produces, maintains, and edits spreadsheets.

Performs basic office tasks, such as receiving and placing phone calls; sorting and distributing mail; filing, scanning, shredding, printing, making copies, inventory.

Assists in the maintenance of the RE database, cleaning up data as necessary.

Coordinates and assists in the preparation of various mailings.

Interacts with staff members within

Full time, Exempt (40 hrs/week), $18 Per Hour, Health Insurance, 403(b) Retirement Plan, vacation, sick and personal paid time off.

Requirements:

Outstanding skills in organization, time management and detail-orientation including careful planning and follow-up.

Good English oral and written skills.

Good interpersonal communication skills.

Ability to maintain a high level of confidentiality.

Ability to work in a team setting demonstrating professionalism, flexibility, and a good sense of humor.

Ability to take direction

Strong work ethic

Required High School Degree, preferably Associate Degree

Minimum one-year professional administrative experience, preferably within a development office

Experience with Raiser’s Edge or other database software preferred

Proficiency in Microsoft Office

Working Conditions: General office setting. Normal business hours, however, this position may entail some evening and weekend work. Must be able to stand, stoop, reach, lift 25 lbs., sit for extended times periods, use keyboard for extended periods with possible repetitive wrist motion. There will be a 6-month probationary period for this position.
