Armand Corporation, an award‑winning M/WBE Construction Management firm with over 34 years in the industry, seeks a full‑time Executive Assistant to support our senior leadership team.

The ideal candidate has 3–5 years of experience as an Executive Assistant for senior executives at a construction or design‑build firm. The role requires strong executive‑level operational knowledge and the ability to provide high‑level support in a fast‑paced environment.

Prior to the interview, candidates must provide digital proof of licensure and certification for all U.S.‑based accolades, including academic degrees. Information will be handled with discretion and used solely for employment‑related purposes, including background checks for government agency clients.

Position is full‑time, on‑site. Candidates are expected to live in or near the New York metropolitan area.

JOB RESPONSIBILITIES

  • Efficiently manage executives’ calendars, appointments, and travel arrangements.
  • Prepare and organize documents, presentations, and reports for meetings and conferences.
  • Act as liaison between executives and internal/external stakeholders, maintaining effective communication and professionalism.
  • Prioritize and handle incoming communication with discretion and responsiveness.
  • Assist in planning and coordinating special events, conferences, and board meetings.
  • Maintain confidentiality and handle sensitive information with utmost professionalism and integrity.
  • Conduct research and gather data on various projects and initiatives to support decision‑making.
  • Collaborate with administrative staff to optimize office efficiency and contribute to a positive work environment.
  • Attend meetings and draft minutes as directed.
  • Keep executives apprised of time‑sensitive matters and ensure appropriate follow‑up.
  • Develop and manage internal processes to expedite workflow.
  • Maintain paper and electronic filing systems, including confidential information.
  • Perform other administrative duties and special projects as needed.

QUALIFICATIONS

  • Bachelor’s degree in Arts, Business, or related field preferred.
  • Proven experience as an executive assistant or similar role supporting C‑level executives or senior management.
  • Exceptional organizational and time management skills; ability to handle multiple tasks and prioritize effectively.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Proficiency in office software (Microsoft Office, Google Workspace) and quick adaptation to new tools.
  • Demonstrated ability to work independently, take initiative, and anticipate executives’ needs.
  • Professional and approachable demeanor with strong interpersonal skills.
