We are seeking an Executive Assistant (based in Elgin, Illinois) to provide administrative support to Executive leadership in the organization, in close partnership with the Executive Administrative Support team. Reporting to the Head of Executive Administration, this role will support day to day activities ranging across calendar management, travel coordination, being a proactive resource to leadership, and so on. HARTING aims to be a trusted advisor to HARTING customers and positions itself as the go-to source expert for industrial connectivity solutions. We partner directly with Original Equipment Manufacturers (OEMs) and Distribution partners for standard product, designed-in value-added products, and Product Development initiatives. To succeed in this role, you will be highly driven to: Represent the offices of various members of the Executive Team and initiates action on their behalf by developing a full and complete understanding of responsibilities; anticipates and proactively plans for their needs. Inform Executives of any significant or noteworthy events inside or outside the organization. Manage all aspects of Executives’ business schedule, including meeting coordination, travel arrangements, etc. Must be completely immersed in the day-to-day details of their schedules and correspondence. Manage email inbox and other correspondence on behalf of the Executives. Proactively monitor, screen, prioritize and respond/distribute communication accordingly. Learn and develop full understanding of the how the departments operate cross-functionally with the rest of the organization. Prepare reports and presentations by compiling data from numerous resources for meetings through a high degree of cross-functional collaboration. Attend meetings when support is needed to capture critical action items; ensuring details are captured accurately and assigned deadlines are monitored thereafter with proactive follow up. Coordinates domestic and international travel arrangements (including air, hotel, and transportation) for VP+ level management staff, international colleagues, customers, new hires and other special requests as needed. Prepares and reviews expense reports for the Executives, ensuring compliance with Travel & Expense policies. Assist in the issuance of administrative procedures and policies. Reviews PTO requests and cross-checking for coverage/business continuity purposes. Assists Executive Administrative Support Team with event planning for annual business conference and other training sessions or events. Assist with orientation of newly hired employees. Other duties as assigned. Travel to Mexico and other US locations approximately 1-4 times per year to attend large scale events. Travel up to 10%. Must have skills and experience: Proficiency in MS Office applications, i.e. Word, Excel, PowerPoint, Outlook, MS Teams, Visio, etc. Excellent communication skills, both verbal and written Ability to display tact and diplomacy required in dealing with sensitive issues and confidential information HARTING Americas is a subsidiary of HARTING Technology Group, a German-based global leader in industrial connectivity solutions. HARTING USA offers an attractive total compensation package and employee benefits, including: Compensation: HARTING'sTotal Compensation Structure includes aBase Salary andBonus Percentage.
