Position Summary: We are seeking a highly organized and experienced

Litigation Assistant

to support attorneys in all phases of litigation, including discovery, pleadings, court filings, and trial preparation in both State and Federal Courts. This role also involves managing calendars using Compulaw and Outlook, scheduling appointments, handling phone communications, preparing legal documents, and assisting with timekeeping and billing tasks. The ideal candidate will demonstrate professionalism, sound judgment, and the ability to interact effectively with partners, associates, staff, and clients.

Key Responsibilities: Draft, revise, proofread, redline, and format legal documents and correspondence, including pleadings, briefs, memoranda, discovery requests/responses, and closing documents Assemble and prepare binders and files for hearings, depositions, client meetings, and trials Maintain attorney calendars using Compulaw and Outlook; coordinate with the Docketing Department to schedule meetings and deadlines Handle electronic and manual court filings across Federal, State, and Bankruptcy Courts, including NYSCEF and ECF/PACER systems Assist with client onboarding tasks, including drafting engagement letters, conducting conflict checks, obtaining waivers, and opening new matters Track attorney time and collaborate with timekeepers to prepare and submit billing information to accounting; distribute monthly invoices to clients Process attorney reimbursements and expenses Provide overflow and cross-office administrative support as needed Maintain strict confidentiality regarding client and firm matters

Qualifications: Minimum of 5 years of litigation support experience in a mid-to-large-sized law firm, supporting at least three attorneys Advanced proficiency in Microsoft Word (2016), including use of styles, track changes, document comparison, TOCs and TOAs; proficient in Outlook, with basic knowledge of Excel and PowerPoint Preferred experience with NetDocs, Compulaw, Best Authority, and Adobe Acrobat Pro/DC Strong legal terminology, court rules, and litigation procedure knowledge Excellent grammar, spelling, and proofreading abilities Familiarity with legal billing systems and procedures Exceptional organizational skills with a high level of accuracy and attention to detail Strong interpersonal and client service skills; ability to work independently and as part of a team Knowledge of basic e-discovery principles is a plus Proficient in e-filing systems, including NYSCEF and ECF/PACER
