PROGRAM COORDINATOR
Full-time, non-exempt with full benefit package
Hours: 40 hours/week. Monday-Thursday: work from the office, Friday: remote. Occasional evenings and weekends due to various events.
Job Summary:
Cancer Support Community Valley/Ventura/Santa Barbara is a non-profit organization dedicated to providing no-cost supportive care to individuals affected by cancer, including patients, survivors, and their families. The Program Coordinator plays an essential role as part of the Cancer Support Community team. This position is responsible for coordinating ongoing programs, developing mission-aligned special events, addressing the needs of participants, and supporting the Clinical Team in delivering high-quality services. In addition, the Program Coordinator helps cultivate and maintain positive relationships with community partners.
Essential Duties/Main Responsibilities:
Program Coordination:
Responsible for developing, implementing, and executing ongoing and new programs tailored to the needs and interests of community members impacted by cancer. ·
Educational Workshops & Social Events:
Plans, executes, recruits speakers, coordinates logistics, hosts events, and conducts post-event surveys in collaboration with the Program & Clinical Director, staff, and volunteers. ·
Wellness Classes:
Ensures smooth operation of existing classes and implements new ones based on community needs. ·
Program Promotion & Marketing:
Updates the website, newsletter, and social media; creates program materials such as lists, flyers, and press releases in collaboration with other administrative staff. ·
Stakeholder Relationships:
Builds and maintains positive relationships with workshop speakers and organizations and hospitals that they are affiliated with, class instructors, program volunteers, and other stakeholders to foster successful collaborations. ·Program Database: Accurately collects and enters attendance data into the program database and generates reports, as needed for national and local data collection and reporting. ·
Community Needs Assessment:
Conducts surveys and analyzes results to ensure programs align with the community's evolving needs. Participant Support Coordination Ensures that new and existing participants receive comprehensive cancer support and resources. ·
Referral Coordination:
Manages referrals from community healthcare providers, ensuring timely and effective connection to appropriate services and resources. ·
Program Materials:
Collaborates with the Outreach Coordinator to ensure healthcare providers and community partners have up-to-date program marketing materials. ·
Onboarding New Participants:
Responds to inquiries about programs and services, and coordinates the onboarding process, including sending the New Visitor Form and Telemental Health Consent. ·
Orientation Meetings:
Facilitates orientation meetings to introduce new participants to Cancer Support Community programs and assist them in navigating available services. ·
Intake Interview Coordination:
Connects new participants with clinical staff to schedule and coordinate intake interviews. ·
Distress Screening:
Distributes and collects distress screening assessments, and shares results with the Program & Clinical Director and Clinical Staff for appropriate follow-up. Clinical Team Support Provides administrative and logistical support to ensure timely and efficient delivery of services by the Clinical Team. ·
Program Assistance:
Supports facilitators and interns with online program tools, technical needs, member rosters, and attendance sheets. ·
In-Person Program Support:
Books meeting rooms and ensures necessary supplies are available for in-person support groups, counseling, intakes, and supervision sessions. Abilities, Skills, and Knowledge – Minimum Requirements ·
Technical Proficiency
: Strong computer literacy, including proficiency with Microsoft Office 365 (Teams, SharePoint, etc.), Zoom, Canva, Constant Contact and related platforms. ·
Database Experience
: Familiarity with database systems such as Salesforce is a plus. ·
Professionalism
: Punctuality is critical, dependable, productivity-oriented and trustworthy. ·
Organizational & Multitasking Skills
: Demonstrated ability to manage multiple priorities, stay organized, and effectively handle concurrent tasks. · Communication : Excellent written and verbal communication skills. · Work Ethic & Commitment : Highly engaged, reliable, and dedicated to the responsibilities of the role. · Critical Thinking & Innovation : Strong analytical skills with the ability to identify areas for improvement and contribute to the development of creative, impactful programs. · Flexibility : Willingness to work a flexible schedule, including occasional evenings and weekends to support workshops and special events. · Interpersonal Skills : Ability to build and maintain positive relationships with participants, staff, interns, volunteers, and community partners; works collaboratively as part of a team. · Confidentiality : Strict adherence to confidentiality and ethical standards in handling sensitive participant information.
