The Role We are seeking a Procurement and Scheduling Coordinator to oversee both procurement and production scheduling management. This role is critical to maintaining efficient supply chain operations, ensuring that production meets demand minimizing waste. The ideal candidate will have some experience in food manufacturing, inventory control, and JIT scheduling.

Essential Duties and Responsibilities Procurement

Develop and execute strategic sourcing plans for raw materials, ingredients, packaging components

Evaluate and negotiate with suppliers to obtain cost-effective, high-quality products

Monitor supplier performance, lead times, and adherence to quality and food safety standards

Maintain and optimize inventory levels to prevent shortages or overstock

Collaborate with QA/QC to ensure all purchased items meet regulatory and company specifications

Familiar with perishables and shelf-life considerations in food production

Knowledge of import/export logistics for food ingredients

Develop and execute strategic sourcing plans for sourcing MRO and other items used by the plant in the course of business

Manage purchase orders, contracts, and documentation in ERP or MRP systems

Forecast demand in collaboration with sales, R&D, and production planning teams

Assist in the inventory controls process

Scheduling

Develop and manage daily and weekly production schedules to align with customer orders, inventory levels, and JIT requirements

Coordinate with production and sales teams to adjust schedules based on demand fluctuations and raw material availability

Monitor production capacity and address bottlenecks to ensure timely order fulfillment

Work with quality assurance and food safety teams to ensure compliance with refrigeration and shelf life standards

Adjust schedules based on raw material availability, machine capacity, labor constraints, and customer orders

Minimize production downtime and changeovers through efficient scheduling practices

Ensure alignment of production plans with inventory targets, sales forecasts, and lead times

Communicate changes or delays effectively to internal stakeholders

Required Competencies

Understand JIT production

Knowledge of Lean Manufacturing or Six Sigma principles for efficiency improvements

Regulatory Compliance: Familiar with FDA, USDA, and HACCP food safety requirements

Experience working with Mexican style food products or refrigerated/frozen food production

Ability to analyze data, forecast demand, and optimize scheduling and purchasing processes

Ability to work in a fast-paced environment, handle multiple tasks and prioritize to meet deadlines

Ability to coordinate between departments, vendors, and customers. Flexibility within a diverse organization

Leadership skills and ability to manage others

Other duties as assigned

Qualifications

High School or GED equivalent; Bachelor's degree preferred

Minimum 3 to 5 years in production scheduling, inventory management, or supply chain operations in food manufacturing or distribution

Ability to read and comprehend instructions and memos in English: ability to carry out detailed written and verbal instructions

Excellent interpersonal, verbal, and written communication skills

Proficient ERP/MRP systems and Microsoft Excel. Experience with Sage 100 a plus

Excellent analytical, negotiation, and communication skills

Demonstrate ability to manage multiple priorities and meet tight deadlines

Bilingual in English & Spanish (a plus)

Valid driver's license

Work Environment

Fast paced food production and warehouse environment with frequent interaction with cross functional teams (production, sales, warehouse, logistics, and quality assurance)

The physical environment requires the employee to work in with prolonged periods sitting or standing at a desk working on a computer with regular visits to the production floor and warehouse

Required use of personal protective equipment in certain areas. Must be able to lift up to 50lbs.

May require occasional travel to suppliers or other facilities
