Position Overview

We are seeking an experienced and detail‑oriented Project Manager who will ultimately be responsible for the financial performance and successful execution of one or more construction projects. This role requires strong leadership, strategic oversight, and effective communication with clients, team members, subcontractors, and other stakeholders. The Project Manager will manage all aspects of project delivery, from scope definition through close‑out, while maintaining documentation and ensuring smooth field operations. Responsibilities

Project Planning & Initiation: Collaborate with clients, landscape architects, and sales team to understand project requirements, goals, and constraints. Develop project plans, including scope of work, timelines, budget estimates, and resource requirements. Conduct site visits and assessments to evaluate feasibility, identify potential risks, and propose solutions. Assist in the development of proposals, bids, and contracts, ensuring accuracy and adherence to client specifications. Review and understand the full scope of work and communicate it clearly to all stakeholders.

Project Execution & Control: Coordinate and manage project activities, including scheduling, resource allocation, and subcontractor coordination. Supervise and provide guidance to project teams, including landscape crews, subcontractors, and suppliers. Monitor project progress, ensuring adherence to timelines, budgetary constraints, and quality standards. Conduct regular site inspections to assess work quality, identify issues, and implement corrective actions. Maintain project documentation, including contracts, change orders, and communication records. Collaborate with stakeholders to address and resolve any project‑related issues or conflicts.

Client Communication & Relationship Management: Serve as the main point of contact for clients, providing regular updates, addressing inquiries, and managing expectations. Conduct meetings with clients to review progress, discuss changes, and obtain feedback. Collaborate with clients to identify additional opportunities and provide recommendations for enhancement. Ensure high levels of client satisfaction by delivering projects on time, within budget, and meeting quality expectations. Collaborate with the Superintendent to create and maintain the master schedule, including weekly short‑term plans.

Resource Management & Procurement: Coordinate and allocate resources, including labor, equipment, and materials, based on project requirements. Monitor utilization and efficiency, making adjustments to optimize productivity and cost‑effectiveness. Collaborate with procurement team to source and procure materials and equipment. Manage subcontractor relationships, ensuring adherence to requirements, schedules, and quality standards. Lead or supervise buyout of materials, subcontractors, and equipment. Ensure accurate and timely preparation of purchase orders and subcontracts.

Budgeting & Financial Management: Develop and manage project budgets, tracking expenses, and ensuring adherence to constraints. Monitor project financials, including costs, revenue, and profitability, and provide regular reports to management. Collaborate with finance team to track related financials, conduct cost tracking, budget variance analysis, and revenue recognition. Establish schedule of values and manage monthly billing to the Owner. Prepare, negotiate, and track all change orders, scope disputes, and budget revisions.

Quality Assurance & Safety Compliance: Ensure all project activities meet quality standards and client expectations. Implement and enforce safety protocols, procedures, and regulations to maintain a safe working environment. Conduct regular safety meetings, toolbox talks, and training sessions. Investigate and report accidents, incidents, or near misses, implementing corrective actions. Collaborate with Superintendent to ensure job site meets safety and quality standards. Establish special case systems for quality assurance where necessary.

Project Closure & Evaluation: Conduct close‑out activities, including client sign‑off, final inspections, and documentation. Perform evaluations to identify lessons learned, areas of improvement, and best practices. Collaborate with sales team to ensure proper handover and facilitate client feedback. Oversee all project close‑out activities, including warranty management and final turnover. Support field operations by ensuring clear plans, materials, and communication. Maintain professionalism, transparency, and accountability throughout the project lifecycle.

Qualifications

Bachelor’s degree in Landscape Architecture, Construction Management, or related field (preferred). Proven experience (5+ years) in project management, preferably in landscaping or construction industry. Strong knowledge of landscape design, construction techniques, and horticulture practices. Proficiency in project management software and tools. Excellent leadership and team‑management skills with ability to motivate and develop diverse team. Strong communication and interpersonal skills. Valid driver’s license; ability to visit project sites and oversee operations. Successful completion of DMV Motor Vehicle background check. Benefits
