Position Summary
The Front Desk Representative is the first point of contact for patients at our pain management clinic. This role is responsible for greeting patients, scheduling appointments, verifying insurance, handling phone calls, collecting payments, and maintaining accurate patient records. A professional demeanor, excellent communication skills, and a compassionate approach are essential to ensure a positive experience for patients dealing with chronic pain.
Key Responsibilities
Greet patients warmly and professionally as they arrive at the clinic.
Answer and manage incoming calls, schedule appointments, and route messages to appropriate staff.
Check patients in and out, verifying demographic and insurance information.
Collect co-pays, balances, and other payments; provide receipts and maintain financial records.
Maintain confidentiality of patient records in accordance with HIPAA regulations.
Assist with prior authorizations, referrals, and insurance verifications as needed.
Keep the front office and waiting area clean, organized, and stocked with necessary materials.
Coordinate with medical assistants and providers to ensure smooth patient flow.
Monitor and respond to emails and patient portal messages in a timely manner.
Support administrative tasks such as scanning documents, filing, and faxing.
Qualifications
High school diploma or equivalent (required).
Prior experience in a medical office setting, preferably in pain management or orthopedics (preferred).
Knowledge of medical terminology, scheduling systems (e.g., EHR/EMR), and insurance verification processes (preferred).
Strong customer service and interpersonal skills.
Ability to multi-task and stay organized in a fast-paced environment.
Proficiency in Microsoft Office and basic computer skills.
Working Conditions
Works in a clean, well-lit, ventilated area.
Works in a high-stress environment.
