Executive Assistant to Founding Partner at Early-stage VC

Leading venture capital firm known for backing founders at the earliest stages is looking for an Executive Assistant to support one of their Founding Partners. This is an exciting opportunity to join a well-respected firm with an exceptional track record and gain unparalleled exposure to how iconic companies are built from the ground up. In this role, you'll own high-volume scheduling and calendar management for a Partner who is in constant back-to-back meetings with external stakeholders, organize travel, manage to-do list tracking, triage communications, process expenses, and support event coordination. You will also provide light personal support, including coordinating food deliveries and booking appointments and reservations. A self-starter who is meticulously detail-oriented with the ability to keep track of multiple moving pieces, and is naturally organized and process-driven. Strong preference for candidates with external-facing scheduling experience to navigate logistics with high-level stakeholders with a strong customer-service mentality. This is a hybrid role, based in San Francisco-based (3 days/week in-office). 130-165K+ DOE + excellent benefits, 401k with matching, flexible PTO, firm participation program, transportation stipend, and in-office lunch provided 3 days/week.
Responsibilities
Own end-to-end calendar management for a Partner with constant back-to-back meetings across multiple time zones. Anticipate scheduling conflicts and proactively problem-solve to optimize the Partner's time and energy.
Coordinate complex external-facing scheduling with high-level stakeholders and navigate the nuances, thinking through logistics, time zones, and meeting preparation needs.
Coordinate all travel logistics, including flights, ground transportation, accommodations, and detailed itineraries. Manage bi-weekly travel between Seattle and San Francisco, plus additional work-related trips.
Triage the Partner's inbox and other communication tools with full access, prioritizing urgent matters and flagging items requiring immediate attention. Work collaboratively with the incoming Chief of Staff on inbox management and prioritization.
Track and prioritize the Partner's to-do list, ensuring nothing falls through the cracks. Close loops consistently and proactively update the Partner on the status of outstanding items.
Assist with organizing events, including portfolio gatherings, founder dinners, and firm events.
Process expense reports accurately and in a timely manner.
Provide personal support to-book personal appointments, organizing reservations, preparing the Partner's apartment for arrival by coordinating with the full-service building staff to stock groceries and essentials.
Assist with additional projects and tasks, as needed.
Qualifications
3-7 years of experience as an Executive Assistant, ideally supporting executives in venture capital, startups, or fast-paced business environments.
Strong preference for external-facing scheduling experience—coordinating with clients, investors, founders, and external stakeholders.
Insanely detail-oriented with a track record of flawless execution.
Naturally organized and process-driven with the ability to create and follow systems that keep complex workflows running smoothly.
Ability to follow directions clearly and take feedback constructively.
Comfortable with the blend of work and personal, understanding the nuances when professional relationships are also personal.
Strong customer-service mentality with excellent interpersonal skills and ability to interact confidently with all levels of stakeholders.
Self-sufficient and independent.
Proactive problem-solver who anticipates needs and thinks several steps ahead.
Positive attitude and willingness to do whatever it takes to support the Partner effectively.
Comfortable working and collaborating with the Partner's incoming Chief of Staff.
