Responsibilities

  • Assist with all administrative matters involving the Office of the Provost.
  • Plan, monitor, control, and conduct budget expenditures, including budget reconciliation, purchasing, expense reports, travel authorization, reimbursement, and purchasing card (pcard) for designated departments and units.
  • Provide administrative support for the annual summer faculty development cycle; act as point person for intake proposals and creation/sending of award notices.
  • Track requests, prioritize work, and collaborate with the Provost to monitor work plans and products of all Academic Affairs units.
  • Assist the Provost and Direct Report D with administrative duties such as events, guest speakers, public events, ticketing, and maintaining social media accounts; order books and announcements.
  • Maintain the Provost calendar, schedule appointments, screen calls, and arrange travel.
  • Make arrangements for meetings with Direct Reports, federal, state, and local officials; research background data for items requiring Provost’s attention and prioritize them.
  • Brief the Provost daily on incoming correspondence and other events.
  • Coordinate and support faculty committee activities (including the Provost’s Advisory Committee, Educational Policy Committee, Faculty Appointments and Status Committee, and ad hoc committees).
  • Serve as liaison to the President, VP for Finance and Administration, Deans, Division Chairs, program directors, local and regional organizations, Board of Governors, and Board of Trustees.
  • Coordinate responses to inquiries, correspondence, complaints, and requests received by the Provost’s Office.
  • Coordinate faculty meetings and events, including the Academic Administrative Council, visiting speakers, and campus colloquia.
  • Attend bi‑weekly 1.5‑hour AAC meetings, take notes for approval, and follow up on action items.
  • Maintain confidential data and handle budget reconciliation, purchasing, travel authorization/reimbursement for the Provost’s Office; liaise with the Business Office and Human Resources; coordinate faculty visits.
  • Secure final approval and process paperwork for all Provost appointments; submit leave reports and maintain leave records.
  • Collect data from various departments and units, assemble reports for special projects, and support participation in national, local, and university councils, task forces, and associations.
  • Coordinate and arrange social events.
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s degree or 4 years of experience.
