Job Summary Responsible for accurate and timely entry of sales and purchase orders, maintaining organized records, and providing essential administrative support to the sales and purchasing departments. This entry-level role focuses on data accuracy, order processing, and documentation to support daily operational efficiency.
Key Responsibilities
Process and accurately input sales orders and purchase orders in a timely manner
Review orders for basic accuracy (pricing, quantities, item codes) and notify the sales team of inconsistencies
Maintain up-to-date records of sales orders, purchase orders, spreadsheets, and templates
Update databases and templates for new product additions
Perform general data entry tasks to support sales and purchasing operations
Reporting and Documentation
Run duplicate order reports and resolve issues to ensure data accuracy
Generate and distribute open sales order reports; follow up on obsolete or inactive orders
Track and update monthly inbound appointment schedules
Organize and file sales orders for accessibility and compliance
Administrative Support
Distribute customer proformas internally for review
Provide administrative assistance to the sales and purchasing teams
Support additional tasks as needed based on operational requirements
Education, Experience, And Skills
High school diploma or GED required
Strong attention to detail and accuracy
Ability to manage multiple tasks and meet deadlines
Strong written and verbal communication skills
Proficiency in Microsoft Excel; familiarity with other Microsoft Office tools
Ability to perform repetitive tasks with consistency
Team-oriented and dependable
Bilingual English and Spanish preferred
