The Accounting Associate is a full‑time position responsible for providing administrative and clerical services for the accounting and human resource departments. Ensuring these services are completed in a timely and accurate manner to support the effective and efficient operation of the organization.
Primary Accounting Duties and Responsibilities Works with the accounts payable process, including: verification of invoices, purchase orders and packing slips and coding of invoices
Back‑up to complete weekly check run and ACH files
Answer customers’ calls and respond to inquiries related to transactional questions or account maintenance. Works to resolve problems and communicate outcome to all.
Apply customer payments
Process gift cards and maintain inventory
Greet visitors, answer incoming calls and re‑direct calls as appropriate or take adequate messages as required
Perform administrative support duties of a varied and highly confidential nature for management
Back‑up to Accounts Receivable Specialist to reconcile cash drawers
Back‑up for other admin tasks
Process Dealer and Organizational Account Applications following established procedures & guidelines; review with management for approval
Open and distribute incoming mail
Assist with sales tax exemption documents using Avalara Certcapture
Perform a full range of administrative duties, including: typing, data entry, computer applications & filing
Other duties and special projects as assigned by management
Human Resources Duties and Responsibilities Assist with New Hire Orientation: welcome kits, health care packets, safety videos and quizzes
Create New Employee Folders and file employee documents
Monthly Anniversary Cards and sympathy/birth cards as needed
Assist with annual benefits open enrollment
Qualifications Associate’s degree in accounting or one year previous work experience in accounting
Strong PC & system skills: proficiency in MS Excel & MS Word required, Oracle Netsuite experience preferred.
Excellent written and verbal communication skills
Detail‑oriented with excellent organizational skills
Ability to maintain confidentiality
Strong work ethic, self‑motivating and able to work independently and in a team
Able to multitask and work in fast paced environment
