Program Assistant – Hoover Institution, Stanford University
The Hoover Institution at Stanford University is seeking qualified candidates for the full‑time position of Program Assistant. The role will support the Technology Policy Accelerator (TPA) personnel primarily in the Prevention of Strategic Technical Surprise initiative.
Responsibilities
Act on behalf of the TPA in establishing priorities and resolving administrative issues.
Schedule, organize, and oversee conferences, seminars, and events, managing vendor services, logistics, and budgets.
Create, modify, and ensure the accuracy of documents, reports, brochures, social media content, and web pages.
Plan and manage calendars, resolve conflicts, and arrange travel per university policies.
Compile complex reports and spreadsheets, making recommendations based on the data.
Process complex financial transactions, monitor budgets, and reconcile statements; assist with capital requests and vendor selection.
Coordinate office moves, remodeling, and renovations.
Extract pertinent information from materials for briefing purposes.
Supervise administrative or support staff, including scheduling, task prioritization, quality review, and performance feedback.
Minimum Requirements
High school diploma and six (6) years of administrative experience or a combination of education and relevant experience.
Advanced computer skills and experience with office software and email applications.
Proven ability to complete projects and follow through.
Excellent organizational skills and attention to detail.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to prioritize, multi‑task, and assign work to others.
Ability to take initiative and own projects independently.
Sound judgment in making independent decisions.
Preferred / Desired Knowledge, Skills, and Abilities
Ability to work in a fast‑paced, changing environment with multiple deadlines.
Team player with good judgment and discretion, able to seek consultation when needed.
Strong writing skills with meticulous attention to detail.
Responsive, professional communication across a wide range of audiences.
Proficiency with Microsoft Office and internet research; familiarity with Stanford online systems is a plus.
Certifications and Licences None.
Physical Requirements
Constantly perform desk‑based computer tasks.
Frequently sitting.
Occasionally stand, walk, reach above shoulders; handle paperwork and lift up to 10 pounds.
Rarely twist, bend, stoop, squat, kneel, or crawl.
Working Conditions
Desk‑based computer work and frequent sitting.
Occasional standing, walking, reaching; handling light paperwork and lifting up to 10 pounds.
Rare twisting or bending movements.
Pay Range The expected pay range for this position is $45.23 – $51.03 per hour.
Stanford University provides pay ranges representing a good‑faith estimate of what the university reasonably expects to pay for a position. The final pay depends on factors such as the scope and responsibilities, candidate qualifications, departmental budget, internal equity, geographic location, and external market pay.
