Executive Assistant, Private Equity, Boston (full time in office)
Our client is a leading global growth‑focused private investment firm with a storied history of partnering companies across high‑growth sectors, including technology and healthcare. They have a stunning Boston office and top‑tier admin team and are seeking an experienced, proactive, and exceptionally organized Executive Assistant to provide comprehensive high‑level administrative support to a small, high‑performing team of senior investment professionals.
What you’ll do
Executive Gatekeeping & Scheduling:
Serve as the strategic gatekeeper to protect investment professionals’ time and access, performing heavy diary management.
Global Travel & Logistics:
Expertly coordinate all domestic and international travel logistics, including flight reservations, hotel accommodations, car services, and visa arrangements.
Financial & Administrative Oversight:
Manage expense processing (experience with SAP Concur is advantageous), maintain professional contacts, and create and maintain efficient filing systems.
Document and Correspondence Flow:
Produce and process correspondence as needed, prepare presentations before meetings, and manage reports and sensitive information, ensuring confidentiality.
Technology & Support:
Coordinate with internal systems teams to ensure professional tools (laptop, iPad, iPhone, etc.) are in good working order.
Team Collaboration:
Provide telephone coverage for team members and act as backup for other Executive Assistants and reception staff as needed.
Hours and Availability:
Standard hours 8:00 AM–5:00 PM; flexibility and paid overtime expected; checking email over the weekend and after hours is a requirement.
Qualifications
Minimum five years relevant experience and a bachelor’s degree; prior experience in private equity or financial services strongly preferred.
Team player with an extremely positive attitude, strong emotional intelligence, and outstanding relationship‑building skills.
Excellent written and verbal communication with extreme attention to detail and impeccable grammar and spelling.
Proactive problem‑solving: anticipate potential problems, identify solutions, use sound judgment and diplomacy, and seek projects that improve workflow and efficiency.
Grit and persistence: persevere, negotiate, and explore options to achieve preferred outcomes.
Adaptability & composure: respond effectively to variable workflow, maintain composure under pressure, accept constructive feedback, learn from mistakes, and handle mundane tasks.
Base Pay Range $110,000.00 / yr – $130,000.00 / yr
Additional Compensation Types Annual Bonus
