POSITION OVERVIEW The Executive Assistant will provide high-level administrative and operational support to the CEO and executive leadership, ensuring seamless scheduling, communication, coordination across the organization. This role will anticipate needs, manage priorities, and facilitate efficient execution of key meetings, travel, and initiatives, enabling leadership to focus on strategic decision-making and business growth.

KEY RESPONSIBILITIES

Manage the CEOâs calendar with a high degree of accuracy and foresight, including scheduling meetings, coordinating with clients, staff, and external partners, and ensuring all required materials are prepared in advance.

Serve as a primary point of contact and gatekeeper for the CEO, managing information flow, screening inquiries, prioritizing requests, and ensuring timely and appropriate responses.

Coordinate complex domestic and international travel for the CEO and C-suite (flights, lodging, transportation), prepare detailed itineraries, and troubleshoot issues such as delays, cancellations, or last-minute changes.

Book travel, hotel, dining, and event reservations as needed for the CEO and other executives to ensure seamless, high-touch experiences.

Support executive communications, including drafting, editing, and formatting correspondence; preparing executive-ready documents; taking structured, accurate meeting notes; and tracking follow-up on action.

Prepare and organize presentation materials, slide decks, talking points, and meeting briefs for internal and external engagements.

Coordinate logistics for leadership meetings and other high-level sessions, including preparing materials, distributing documents, and ensuring smooth meeting execution.

Maintain organized executive files and records to ensure easy retrieval of documents, contracts,li>

Track cross-department deliverables and ensure timely completion, escalating issues or delays when appropriate.

Manage expense reports, reimbursement submissions, and credit card reconciliation for the CEO and/or other executives.

Partner with HR Legal, and other departments to support cross-functional tasks and executive-level initiatives.

Assist with planning and execution of leadership offsites, client visits, internal events, and special projects.

Provide personal administrative support to the CEO and executive leadership (as requested), always upholding discretion and confidentiality.
