Job Description Our ideal candidate is a motivated and detail-oriented individual, recently graduated, with a bachelor’s degree in human resources, business administration, psychology, organizational development, or a related field, to join our dynamic HR team.

The role of HR Administrator has been created for an eager learner with a passion for people operations, workplace experience, and creating an organized, welcoming, and efficient office environment. The successful candidate will join our team on the

Corporate Development Program

and work closely with the HR Manager to be developed to the position of HR Business Partner over the two-year program.

Key Responsibilities HR Administration

Maintain an accurate and efficient HR database, ensuring all employee documentation, changes, and records are up to date.

Support the full recruitment cycle including posting job ads, shortlisting, liaising with candidates, and scheduling interviews.

Conduct reference checks and ensure all required documentation is collected.

Coordinate onboarding for new hires, including scheduling inductions and preparing documentation.

Address day-to-day HR queries in line with policies and procedures.

Produce HR reports and support payroll and benefits processing.

Support staff training initiatives by preparing materials, schedules, and event logistics.

Assist with drafting, updating, and maintaining HR policies and the Employee Handbook.

Ensure compliance with HR related laws and internal policies.

Assist with employee engagement activities, team-building events, and wellbeing initiatives.

Support HR projects related to talent development, performance management, and staff surveys.

Prepare forms, surveys, and HR documents that support data-driven decision making.

Analyze employee satisfaction data, turnover trends, and provide insights for improvement.

Handle confidential employee concerns with empathy and professionalism.

Perform general HR administrative tasks and support ad-hoc departmental projects.

Facilities Administration

Support in the oversight of all aspects of office operations to ensure smooth day-to-day functioning.

Maintain an organized, tidy, and professional office environment.

Manage incoming calls, emails, and inquiries, directing them to the appropriate personnel.

Maintain office supplies inventory and place orders as needed.

Organize and maintain physical and electronic records for easy retrieval.

Coordinate bookings for meeting rooms, car parks, taxis, restaurants, and other services.

Greet visitors and guests, ensuring proper sign-in and directing them accordingly.

Coordinate office events and catering.

Handle travel arrangements including flights, accommodations, and itineraries.

Order business cards and office essentials.

Manage incoming and outgoing mail, packages, and deliveries.

Support compliance with office-related processes, security protocols, and confidentiality guidelines.

Coordinate office safety and security measures including emergency preparedness, fire drills, first aid, and access control.

Supervise the office reception desk, handle visitor check-ins, and maintain a polished front-office environment.

Coordinate facility maintenance requests, ensuring timely resolution of office repairs and cleaning issues.

Skills & Qualifications Educational Requirements

Bachelor’s degree in human resources, business administration, psychology, organizational development, or a related field.

Currently studying towards obtaining a suitable professional HR qualification is an advantage.

Work Experience

This role is one of the roles designated by the company to be developed through the Corporate Development Programme.

The candidate should preferably have had some internship / work experience in an office environment and obtained some experience in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR software/systems.

Strong verbal, written, and interpersonal communication skills.

Proficient in Microsoft Office applications.

Basic understanding of HR administration processes.

Ability to manage multiple tasks, projects, and priorities simultaneously.

Strong organizational skills with excellent attention to detail.

Basic understanding of HR compliance and regulatory requirements.

Ability to produce reports and manage HR data accurately.

Collaborative mindset with excellent relationship-building abilities.
