Job Summary Reporting to the Director of Event Services, the Representative coordinates and assists in the daily operations of the Sales, Events and Event Servicing team. The role provides direct administrative support to the Sales and Events Director.

Responsibilities

Answer telephones within 3 rings for the Sales and Marketing Office, directing calls appropriately.

Answer telephones in the Event Services Office and direct calls appropriately; take accurate messages and relay information, offering assistance to clients when the Manager is not available.

Assist the Event Services team with administrative support including checking rooming lists accurately, completing all breakfast notifications, parking vouchers, and envelopes for pre-key groups. Merge letters of agreement, expense reports, and distribute all event orders and resumes.

Maintain an accurate client and menu/EO database in OSEM and adhere to all Fairmont Hotels & Resort Opera system standards.

Approach all encounters with guests and employees in a friendly, service‑oriented manner.

Comply at all times with hotel standards and regulations to encourage safe and efficient hotel operations.

When necessary, assist Sales and Events team by monitoring all lead sources and distributing leads to the appropriate Sales and/or Events Manager based on deployment.

Qualifications

College degree or diploma in Hotel/Restaurant Management is an asset.

Advanced knowledge of Excel and Word.

Knowledge of Opera (OSEM) is an asset.

Strong verbal and written communication skills.

Professional, enthusiastic, team‑oriented with excellent organizational skills.

Ability to meet deadlines in a fast‑paced environment and multitask effectively.

Competency in learning and using various technology, sales systems and digital platforms.

Physical and Scheduling Requirements Sedentary work. May require exerting up to ten pounds of force occasionally or frequently. 40‑hour week with flexibility within the week.
