Job Summary
Reporting to the Director of Event Services, the Representative is responsible for coordinating and assisting in the daily operations of the Sales, Events and Event Servicing team and provides direct administrative support and assistance to Sales and Events Director.
Responsibilities
Assist with answering telephones within 3 rings for the Sales and Marketing Office and directing calls appropriately.
Assist with answering telephones in the Event Services Office and directing calls appropriately. Accurate message taking and relaying information is imperative as well as offering assistance to client when Manager is not available.
Assist Event Services team with direct administrative support to include checking rooming lists with accuracy, complete all breakfast notifications, parking vouchers and envelopes for pre-key groups. Including merging letters of agreement, expense reports, distribution of all event orders and resumes among other administrative needs.
Maintaining an accurate client and menu/EO data base in OSEM and adhere to all Fairmont Hotels and Resort Opera system standards.
Approach all encounters with guests and employees in a friendly, service-oriented manner.
Comply at all times with hotel standards and regulations to encourage safe and efficient hotel operations.
When necessary, Assist Sales and Events team by monitoring all lead sources and distribute leads to appropriate Sales and/or Events Manager based on deployment.
Education College degree or diploma in Hotel/Restaurant Management an asset.
Tools & Equipment Must possess an advanced degree of knowledge in Excel and Word. Knowledge of Opera (OSEM) an asset.
Physical Requirements Sedentary work. Exerting up to ten pounds of force occasionally, and/or negligible amount of force frequently or constantly to lift, carry push, pull or otherwise move objects, and long hours sometimes may be required.
Schedule 40 hour week, with the ability to be flexible within the week.
