Legal Assistant / Legal Administrative Assistant (PERM)
Location: Boston, MA 02109.
Salary: $80,000–$110,000.
Work Schedule: 4 days onsite; Fridays work from home.
A leading international law firm is seeking a dedicated Legal/Professional Assistant to join its fast‑paced Litigation team in the Boston office. This critical role provides specialized administrative and secretarial support while serving as a key liaison between attorneys, clients, and firm leadership.
Key Responsibilities
Draft, proofread, and edit complex legal documents, correspondence, and memoranda from a variety of sources (electronic drafts, handwritten notes, dictation), ensuring accuracy, proper formatting, and adherence to firm standards.
Manage attorney calendars, inboxes, contacts, and incoming electronic files (court filings, faxes), taking appropriate action and routing materials as needed.
Maintain strict compliance with the firm's Client File Maintenance policies for both physical and electronic records.
Oversee the full lifecycle of files: ensure electronic materials (emails, documents) are properly stored in iManage; barcode, label, and close physical files in accordance with Records policies.
Partner with attorneys to leverage technology and support a more efficient, paper‑reduced environment.
Coordinate complex meeting logistics, including room reservations, equipment needs, catering, and travel arrangements.
Prepare and submit accurate manual and electronic expense reports and payment requests, ensuring appropriate coding and adherence to firm and client guidelines.
Manage daily attorney time entries in iTimekeep and review pre‑bills for correct matter allocation.
Provide professional phone coverage and respond promptly to client inquiries.
Expand and apply technical expertise, offering training and support to attorneys and staff on new tools and technologies to improve workflow efficiency.
Qualifications
Minimum of three years of legal secretarial or equivalent experience required; prior law firm experience strongly preferred.
Strong proficiency in Microsoft Office and PDF applications.
Thorough understanding of legal industry software (document management, calendaring, time entry).
Experience with iManage and similar firm platforms highly preferred.
Excellent word processing skills, strong familiarity with legal terminology, and the ability to manage high‑volume workloads with exceptional attention to detail.
Basic accounting skills for time entry and expense reporting preferred.
High school diploma or equivalent required; bachelor's degree preferred.
Seniority Level Entry level.
