Job Description Summary

Responsible for front desk and front office support operations for commercial services within a specified market in an efficient and effective manner. The Receptionist will work with the Director of Operations, Office Manager, Office Coordinator and fee‑earners within the market to provide support as needed.

Responsibilities

  • Enter expense reports: collect receipts, attribute expenses, track against deal budget, and enter reports into Workday.
  • Vendor Management / Administration: complete routine correspondence, enter data, print letters, create form letters, format documents; manage purchasing and maintenance of office supplies and equipment; enter new local vendors into Workday and update data; process invoices; act as liaison for property/building management and coordinate maintenance.
  • Greet / Direct All Visitors: manage front desk, provide building access, notify employees of arrivals, communicate with operations staff, brokers, and Managing Principal, provide parking passes/validation.
  • Manage Phones: answer and screen incoming calls, relay messages, provide general company info, handle calls with discretion.

Physical Conditions

May be required to travel between buildings and operate office machinery; may need to sit or stand for prolonged periods; walk, talk, and hear regularly.

Reports to Office Manager.

Background and Experience

  • Post-Secondary Education
  • 0-3+ years of experience in a receptionist or administrative support role
  • Front desk and/or office experience a plus

Competencies

  • Strong written and oral skills
  • Basic computer skills; strong Microsoft Office Suite skills a plus
  • Ability to plan, organize and manage processes
  • Basic knowledge of office administrative duties
  • Ability to follow instructions and procedures

Compensation

$21.67 - $25.49 per hour; compensation depends on collective bargaining agreement, geographic area, market pay rates, experience and qualifications. Company will not pay less than minimum wage.
