Overview

Job Summary: Answers the telephone in a courteous manner and directs calls to the appropriate destinations; records accurate and complete messages when necessary; receives and receipts deliveries and donations; greets and announces visitors and clients; provides general information about The Salvation Army’s operations and services; performs routine clerical work such as typing, spreadsheets, and filing.

Responsibilities

  • Receptionist Duties (100%): Answers the telephone and transfers calls to the appropriate destinations; responds to callers’ questions and provides accurate information.
  • Records accurate and complete messages; ensures timely and accurate distribution of messages.
  • Receives, greets, and announces visitors in a courteous and tactful manner; provides assistance to callers and visitors by answering questions and providing instructions and referrals; screens sales representatives soliciting to The Salvation Army.
  • Notifies proper individuals when visitors or clients have arrived; ensures visitors and clients have signed in.
  • Maintains order and decorum in the reception area.
  • Updates phone list by adding/deleting names and extensions; proofs telephone lists for mistakes before printing.
  • Receives and prepares receipts for donations, packages, express mail, and items delivered to the lobby; notifies proper individuals of item arrival by telephone and/or email; follows The Salvation Army procedures in handling money.
  • Keeps track of Officers and employees in the office at any given time, as possible.
  • Assists with special or seasonal projects such as Christmas, angel tree, etc.
  • Ensures phone system is on night mode at 4 PM each evening and video monitor is turned off.
  • Performs other related work as required and performs other duties as assigned.

  • Ability to direct phone calls to the appropriate person or destinations.
  • Ability to respond to and assist callers and visitors in a courteous and tactful manner.
  • Ability to screen calls in a courteous and tactful manner.
  • Ability to work with people and provide assistance in a calm, courteous, and tactful manner.
  • Ability to record accurate and complete messages.
  • Ability to perform clerical support work while operating the switchboard.
  • Ability to respond to emergencies in a calm and effective manner.
  • Ability to project a positive and professional image of The Salvation Army.

Minimum Qualifications

Education and Experience: High school diploma or G.E.D. required, and two years of progressively responsible experience working in a major firm with telephone switchboard responsibilities, or any equivalent combination of training and experience which provides the necessary knowledge, skills, and abilities.

  • Ability to meet attendance requirements.
  • Ability to read, write, and communicate in English.
  • Ability to operate a telephone and/or switchboard.
  • Ability to sort documents alphabetically and numerically.
  • Ability to perform routine mathematical computations.

Working Conditions

Work is performed in a normal office environment where there is little or no physical discomfort associated with changes in weather or discomfort from noise, dust, dirt, and the like.
