The authorized level of the position is Secretary II. Applications are being accepted down to the Secretary I in the event of recruiting difficulties. This position serves the Hana-Lahainaluna-Lanai-Mmolokai Complex Area and is physically located in Puunene.

Salary Range: Secretary I, SR-12: $3,621.00 per month; Secretary II, SR-14: $3,917.00 per month.

Examples of Duties

  • Greets visitors to the office and answers the telephone; refers calls and callers to supervisor and other staff; takes messages; makes appointments for the supervisor; provides direct factual information when appropriate;
  • Receives and opens incoming mail; maintains files; prepares routine correspondence and reviews outgoing correspondence for accuracy and conformance with procedures;
  • Establishes and maintains subject matter, alphabetic and/or chronological files; procures supplies, equipment and services through agency channels;
  • Relays messages; allocates debits/credits or other bookkeeping items to correct accounts; may type, take dictation, or transcribe notes; explains details of services, methods or policies;
  • Supervises clerical subordinates and others in highly complex clerical work as defined in the Office Assistant series (as applicable).

Minimum Qualifications

Experience Requirements: Except for substitutions provided for in this specification, applicants must have work experience described below in the amounts shown.

  1. General Clerical Experience — Work involving English grammar, spelling, arithmetic; ability to read and understand instructions; and to speak and write clearly. For Secretary I/II, see the table in the original posting for required totals.
  2. Specialized Clerical Experience — Progressively responsible typing, stenographic and/or substantive clerical work; knowledge of common office equipment; ability to carry out clerical procedures and perform secretarial tasks, including but not limited to reception, filing, travel arrangements, and composing correspondence.

Substitutions Allowed: Any combination of work experience and/or education that demonstrates the required knowledge, skills and abilities may be accepted in place of the minimum qualifications.

Substitution of Education for Experience:

  • High school graduation with courses in English and arithmetic may substitute for six months of General Clerical Experience.
  • Completion of a substantially full-time equivalent clerical/secretarial curriculum leading to a degree or diploma may substitute for part of Specialized Clerical Experience.
  • Partial completion of a substantially full-time equivalent clerical/secretarial curriculum may be substituted for specialized experience on a month-for-month basis.
  • Education at a university in a baccalaureate program may substitute for specialized experience under specified terms.

Quality of Experience: The required years of experience must demonstrate the ability to perform the duties of the position.

Supplemental Information

Salary is based on full-time employment and includes applicable differentials. Applicants must meet all requirements as of the application date. Calculation of experience is based on full-time, 40-hour workweeks. Part-time experience is pro-rated.
