Executive Assistant (Floater)
Our client, a leading venture capital and growth equity firm, is seeking a highly adaptable and experienced executive assistant to provide rotational administrative support to senior executives across multiple teams. This individual will fill in during executive assistant leave of absence and play a key role in maintaining seamless operations across the organization. The ideal candidate is proactive, resourceful, and thrives in a fast‑paced environment that requires flexibility and strong multitasking skills.
This is a hybrid, 5‑month contract role based in Menlo Park, CA. Pay will be $65-$70/hr.
Key Responsibilities
Provide short‑term, high‑level administrative coverage for multiple executives, often rotating between teams and departments.
Proactively manage complex calendars across multiple time zones and coordinate meetings with internal and external stakeholders.
Arrange domestic and international travel logistics, including itineraries, accommodations, and transportation.
Prepare and process expense reports accurately and efficiently.
Assist with investment‑related processes, including document organization, wire transfers, closing documents, board materials, and diligence files.
Maintain accurate and up‑to‑date records in Salesforce, including meeting notes, contacts, and presentation data.
Gather and compile portfolio company data for quarterly reviews and valuation updates.
Support marketing and event logistics such as mailing lists, name tags, and guest coordination.
Partner with the reception and operations teams to provide excellent hospitality for visiting guests and portfolio companies.
Collaborate closely with other executive assistants to ensure seamless communication and coverage across teams.
Qualifications
8+ years of high‑level executive administrative experience, ideally within financial services, legal, or other professional services environments.
Advanced proficiency in Microsoft Office Suite (especially Outlook and Calendar management).
Experience with expense‑reporting tools (Expensify preferred).
Proficiency with Salesforce.
Strong written, verbal, and interpersonal communication skills.
