Essential Job Functions

Provides administrative support to the Executive Vice President for External Affairs and Programming for Zoo New England. Their work supports all outreach initiatives including conservation brand strategy and implementation, government affairs, and community outreach. This role carries out a wide range of administrative and coordination functions, frequently provides helpful and pleasant customer service to a diverse audience, participates in on‑site and off‑site community outreach programs and events and provides standard administrative office support to the Stone Zoo Administrative building.

Duties & Responsibilities

  • Provide wide range of administrative and coordinative functions such as drafting, editing, copying, preparing, or creating various forms of correspondence; scheduling, documenting, and tracking key associated timelines, deliverables, or other like activities.
  • Conducts and summarizes research findings; maintains organized filing systems.
  • Stays abreast of relevant external activities to identify new outreach opportunities.
  • Participates in writing and/or editing of position papers on ZNE conservation priorities.
  • Administers projects and efforts for all external affairs and programming initiatives including those pertaining to federal, state, and local government relations, relationship building, advocacy, and lobbying efforts.
  • In alignment with EVP, advocates in support of the Zoos and their conservation work, exhibits, programs with federal, state, and local government officials and staff. Schedule and prepare materials and provide follow‑up for these meetings.
  • Supports the EVP in other administrative capacities as needed to drive strategy for state and local government funding and advocacy opportunities including grassroots advocacy actions.
  • Provide administrative office support for Stone Zoo administrative building, such as ordering and maintaining supplies, distributing mail, answering phones, assisting the public with questions, maintaining office equipment, performing reception activities.
  • Other duties as assigned.

Knowledge, Skills, and Abilities

  • Bachelor's degree in marketing or communications or a bachelor's degree with 1 year of directly relevant work experience; or 5 years of directly relevant work experience in lieu of a degree.
  • Excellent interpersonal skills both in person and in virtual settings; able to communicate clearly and tactfully with diverse audiences in person, verbally, and in all forms of written correspondence. Can sustainably provide energetic, outgoing, and creative support.
  • Proficiency with Microsoft Office Suite (365 preferred), PowerPoint and presentation skills; Adobe Publisher preferable.
  • Ability to work both independently and collaboratively while navigating conflicting priorities.
  • Able to maintain organization of complex and potentially overlapping projects and initiatives.
  • Available for some evening and weekend work; able to establish and maintain reasonable scheduling flexibility to work additional hours, holidays, and special events as needed.
  • Valid driver’s license and a good driving record.
  • This position will be primarily located at Stone Zoo and is expected to occasionally work at Franklin Park Zoo in Boston.

  • Passion for wildlife and conservation programs, research, and education.
  • Experience working in a non‑profit, governmental agency or conservation organization.
