Under the direction and supervision of the Chief Psychiatrist, the Psychiatry Assistant organizes and develops the infrastructure to support psychiatric services to SSLC residents. The role involves establishing and maintaining databases, tickler systems, spreadsheets, and compliance documents, performing chart reviews, data analysis, and preparing reports for monitoring and regulatory requests. Additionally, the assistant attends interdisciplinary team meetings, contributes insights based on chart reviews, and works collaboratively with other departments to ensure integrated care and regulatory compliance. Responsibilities
Assist in establishing and maintaining psychiatric care databases and tickler systems related to psychoactive medication management. Create, update, and manage spreadsheets, forms, and documents to support care standards and regulatory compliance. Perform chart reviews of resident data to track adherence to treatment protocols and prepare data-driven reports. Attend SSLC interdisciplinary and committee meetings, representing psychiatry and providing insights on clinical data. Develop and maintain schedules for quarterly and emergency clinics, coordinating with other departments. Monitor and analyze professional standards compliance for laboratory tests and side‑effect monitoring tools. Coordinate scheduling of residents for psychiatric services, including locum tenens or telepsychiatry when necessary. Assist in preparing comprehensive psychiatric evaluations and updates for new admissions and annual reviews. Maintain and update psychiatric consent forms and track due dates for critical documents. Utilize SSLC software programs, including IRIS, to input, review, and modify data efficiently. Participate as needed in disaster response and continuity of operations activities. Essential Job Functions
Attend work regularly, with potential shift variations, overtime, or on‑call duties as required. Extract pertinent patient data from charts and monitor consistency in terminology and related metrics. Track psychiatric indicators, behaviors, and medication protocols, raising issues to the psychiatrist for timely action. Contribute data-driven insights at medical review conferences and clinical update meetings. Ensure quarterly and emergency clinics are scheduled and coordinated effectively. Monitor professional standards compliance for lab tests and side‑effect monitoring, reporting non‑compliance to relevant staff. Create and maintain systems for tracking resident clinic scheduling and recall based on professional standards. Assist in resolving psychiatric service delivery problems, including selecting appropriate providers. Prepare administrative reports, studies, and specialized research projects focused on psychiatric care. Perform internal auditing of psychiatric documentation in collaboration with external auditors. Develop and update comprehensive psychiatric evaluations for new admissions and annual updates. Maintain detailed spreadsheets on medication changes, lab results, and other psychiatric data. Ensure all SSLC software is accessed and utilized for efficient workflow. Engage in ad‑hoc projects and disaster recovery duties as assigned. Knowledge, Skills & Abilities
Strong organizational and critical judgment skills in setting up and refining systems and clinic processes. Attention to detail and effective scheduling skills. Advanced database, spreadsheet, and data collection form development skills. Knowledge of common psychiatric and medical conditions in residents of ICF-IID facilities and associated medications. Ability to translate regulations and guidelines into concrete data methods. Proficiency in written and oral English. Effective communication with a broad range of stakeholders, including minute taking. Proficiency with Microsoft Office Suite (Word, Excel, Access, Outlook). Initial Screening Criteria
Bachelor’s degree or Licensed Vocation Nursing (LVN) licensure plus 1 year of experience with persons with developmental, mental, or physical disabilities; OR Associate degree plus 3 years of experience with persons with developmental, mental, or physical disabilities. Experience using computer databases, word processing, or spreadsheets. Preferred experience in health‑care interdisciplinary teams inclusive of physicians or psychiatrists. Additional Information
Applicants must complete a fingerprint criminal background check, pre‑employment drug screen, and registry checks (including CANRS, Nurse Aide, Medication Aide, and HHS LEIE). Random drug testing may be required. Flexibility to work overtime, extended hours, weekends, and holidays is required. All candidates must be at least 18 years old and, for male applicants aged 18‑25, registration with the Selective Service is mandatory.
