Position Summary We have an exciting opportunity to join our team as a Administrative Assistant - Brooklyn.

In this role, the successful candidate assists the Site Director in coordinating the daily clerical functions of the outpatient rehabilitation site. Serves as the lead support person for clerical staff and coordinates day-to-day office operations. Provides secretarial and administrative support to the outpatient Site Director. Performs diversified administrative functions enabling efficient office operations.

Job Responsibilities

Demonstrates an awareness of and respect for coworker/patients cultural background. Incorporates patients cultural background and values in methods of communication. Assesses the patients ability to communicate in English and assists in the provision of an interpreter as needed.

Ensures front desk staff has confirmed evaluation appointments and no show appointments have been recalled in order to maintain visit volume expectations.

Provides oversight of basic front desk operations including scheduling of appointments, Epic registrations, and cashiering as needed to ensure timely completion of all tasks.

Provides oversight to the insurance authorization process for all therapy services and ensures patient appointments are appropriately scheduled and completed within the approved authorization period.

Provides oversight to all medical record requests to ensure payment has been received and the request is completed.

Ensures office environment is compliant and reports site-related operational issues to Site Leadership and/or engineering department.

Responds to calls and visits from visitors, staff, and patients and provides information according to established policies; determines the urgency of the situation and notifies Site Leadership when needed.

Attends staff meetings as required and participates on committees as directed. Composes correspondence, memos and emails, as instructed. Types, formats and proofreads a variety of materials including agendas, memos, reports, charts, statistics, meeting minutes, etc as requested.

Interacts with interdepartmental personnel throughout the health centers and hospital departments.

Oversees Epic workqueues ensuring new referrals are scheduled daily and registration errors are corrected in a timely fashion.

Coordinates daily operations of specialized services in the site including but not limited to outreaching to physicians, coordinating vendor schedules, patient scheduling and follow up, etc.

Provides oversight to the monthly reconciliation of metrocards and ensures reports are submitted timely.

Serves as a mentor/resource for clerical staff and provides training when needed.

Provides excellent customer service to patients and handles patient complaints related to front desk issues as needed. Reports all issues to Site Leadership.

Provides administrative support to Site Leadership and staff as needed. Additional tasks as assigned.

Minimum Qualifications

High school diploma or equivalent.

Secretarial studies or college preferred.

5 years relevant experience.

Strong customer service and communication skills.

Proficient in Excel, Word, Power Point, and Outlook.

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $54,483.52 - $66,642.88 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
