JM&A Group We are seeking a self-motivated and enthusiastic

Senior Events Specialist

responsible for planning large meetings, special events and small to mid-size incentive trips from conception to completion. The ideal candidate would provide outstanding customer service while creating memorable events that motivate and inspire future performance.

Responsibilities

Consult with internal clients to identify their program goals, objectives and ensure customer satisfaction. Design, plan and execute all aspects of the company’s more complex meetings, special events and small to mid-size incentive trips as well as assisting on large incentive programs. Facilitate and manage all event details for on and off-site events which may include, communication, registration, décor, amenities, production, entertainment, transportation, venue selection, contract negotiations, food and beverage selection/coordination, and coordination of program content. Collaborate with corporate travel agencies to coordinate group travel arrangements. Build solid relationships and coordinate with internal departments and external vendors and customers. Ensure compliance with legal, risk and safety requirements. Create, manage, and reconcile event budgets and process a variety of payments.

Qualifications

Bachelor's degree in hospitality management, event management, or equivalent experience required. Minimum of 3 to 5 years planning meetings and mid-size incentive programs, in a corporate process driven environment, is required. Experience in maintaining positive relationships with a variety of vendors. This includes hotels, audiovisual companies, convention centers, destination management firms, transportation services, air charter companies, caterers, and entertainment providers. Knowledge of procedures related to planning and managing corporate meetings, events and incentive trips. Experience using or knowledge of CVENT event registration system, developing registration websites, mobile web apps, custom reporting, and managing data preferred. Knowledge of Basecamp, Workfront, and Concur a plus. Must have above average knowledge of Microsoft Word, Excel, PowerPoint, and Outlook. Ability to travel domestically and internationally, when necessary, and occasionally on short notice. Ability to manage multiple projects with minimal supervision within a collaborative team environment. Exemplary verbal, written and interpersonal communication skills with adeptness in dealing with individuals of all levels, both internal and external. Work environment involves both indoor and outdoor activities as well as travel via car, van, bus, boat, or plane. Site visits may require long walks, up/down hallways, up/down mountains, extended periods of sitting/standing (up to 4 hours), and long flights (up to 9 hours). Physical activities may include hiking, biking, repelling, zip-lining, horseback riding, segways, boating, kayaking, whale watching, ATV riding and other activities. Work hours may vary depending on individual assignments. On occasion, work hours may exceed 18 hours per day when on site for a program. May lift/carry/pull up to 50 pounds. General range of motion requires bending, grasping, reaching & torso twisting when preparing and on-site during programs. Lifting activities may include assembly of signage, boxing computers/supplies/copiers/amenities for shipment, moving of tables/chairs/décor, carrying supplies such as water/food/amenities/décor.
