The Family Office Services Senior at Avantia: A Family Office supports the delivery of bookkeeping, bill pay, and tax strategy services for ultra-high-net-worth families. Reporting to the Family Office Services Manager, you will be a key contributor to client service by executing core financial administration tasks, preparing financial statements, and coordinating with internal team members and external partners such as tax professionals, attorneys, and household staff. You will help ensure seamless day-to-day banking and financial operations for client families. The Family Office Services Senior plays a vital role in supporting client relationship management, ensuring high service standards and responsiveness, and may contribute to the ongoing improvement of family office processes and tools. Key Responsibilities
Maintain the general ledger, including preparation and review of journal entries, accruals, reconciliations, and adjustments. Ensure timely and accurate recording of transactions. Process accounting transactions such as bill payments, invoicing, and preparation of payroll entries under the direction of the Manager. Support the Family Office Services Manager in delivering monthly and quarterly financials to clients containing balance sheets, income statements, cash projections, and dashboard presentation. Perform financial analysis to support decision making processes and provide insights into financial performance and identify areas for improvement. Identify opportunities for process improvements and implement best practices to enhance efficiency and accuracy, both internally and externally. Assist in implementing integrated financial strategies by gathering and organizing tax-related data from clients and external specialists (tax advisors, estate planners, etc). Understand Avantia’s internal service offerings and help coordinate with external specialists when necessary to support timely delivery of holistic financial plans with colleagues. Conduct preliminary research on financial or tax-related topics, synthesize information, and present findings clearly to the Manager for review. Participate in client discovery meetings to gather necessary documentation and context for accurate service delivery. Contribute to estimating the time and resources required for client work by tracking efforts and communicating workflow needs. Participate in special projects and initiatives as assigned by the Manager or CEO, including system upgrades and process redesigns. Desired Qualifications
Education and Experience:
BS in accounting or equivalent degree required. Minimum six (6) years of experience performing general accounting transactions and functions, preferably within family office or wealth management environments; Three (3) or more years of public accounting firm experience preferred. Licenses/Certifications:
CPA, preferred. Software:
Proficient with accounting system and Microsoft Offices Suite (e.g., Sage Intacct, QuickBooks, Bill.com, Excel, Word, PowerPoint, Outlook, etc), required. Proficient in Salesforce, Addepar, preferred. Other Knowledge, Skills, & Abilities:
Excellent communication and interpersonal skills; Detail-oriented and highly organized, with an efficient approach to managing projects of varying complexity with urgency and timeliness; Embrace and contribute to a culture of "Client Delight" through proactive service and teamwork.
