Unit Coordinator, Surgical Step Down (40 Hours – Days) Boston Medical Center (BMC), IMCU

Position Summary Responsible for the overall clerical functions of the nursing station/front desk. Working collaboratively with the clinical team, the Unit Coordinator participates in the delivery of patient care by providing a variety of clerical, customer‑relations, and support services to patients, their families/visitors, and healthcare team members.

Essential Responsibilities / Duties

Greets and directs patients, families, visitors and staff with friendly, courteous customer service.

Coordinates front‑desk/office support services and performs clerical duties for the department.

Responds to telephone calls, checks BMC e‑mail, and forwards inquiries to appropriate personnel.

Manages voice messages, handles respiratory therapy phone duties, and operates the pulmonary function test (PFT) extension as required.

Uses computer systems for data entry of patient information, prints reports, faxes, orders items, schedules appointments, and verifies information.

Responds to patient call lights and follows up to ensure nursing staff has responded.

Maintains communication data: computer, charge/white boards, daily communication sheets, assignment sheets.

Orients patients to their rooms, call lights, telephones, and the unit with welcome letters and informational packets.

Initiates daily RN phone assignments and logs RN phone numbers.

Secures patients’ personal property and maintains a belongings list for each patient.

Monitors computer systems (SCM, SDK, GE, etc.) and Bed Board for new discharge orders, prints summaries, and schedules clinics before discharge.

Distributes mail, flowers, gifts, and facilitates access to hospital services such as cafeteria, chapel, gift shop, parking, and cashier.

Identifies emergency situations and initiates appropriate response within scope.

Coordinates transportation appointments for patients and related materials.

Interacts with various departments to ensure patient, family, visitor, and staff needs are met.

Identifies and resolves discrepancies, referring issues to the appropriate team members as needed.

Performs office clerical functions such as photocopying, fax transmissions, and copier maintenance.

Coordinates unit communications including alpha‑numeric text pages and telephone call systems.

May assist in admission, discharge, and transfer processes and manage insurance pre‑approvals, demographics, and free‑care applications as needed.

Medical Record and Order Entry

Prepares charts and labels on admission and maintains complete medical records through timely filing of results, treatment documents, and chart thinning.

Labels precaution charts and maintains supply of precaution signs.

Retrieves and enters data, communicates findings, and maintains statistics for the PFT Lab and Bronchoscopy areas (respiratory therapy clinic only).

Schedules, books, and notifies appointments using computer programs/systems (SEM, IDX, SDK).

Ensures chart completeness, barcode labeling of summaries, and correct filing of medication records and activity sheets.

Transcribes and fully documents patient care orders promptly.

Co‑ordinates test/procedure scheduling and communicates changes to patients, families, and staff.

Maintains logs, databases, and unit boards: diet lists, census sheets, supply logs, phone numbers, etc.

Ensures a current Downtime Materials Box and proficiency with downtime procedures.

Care of the Environment, Equipment and Material Supplies

Conducts daily rounds to ensure a safe, clean environment and contacts the appropriate department to address issues.

Initiates repair orders and logs issues with the help desk.

Completes daily patient charges/billing and ensures coding accuracy.

Monitors inventories and orders supplies to par levels using online ordering systems.

Participates in missing‑patient and missing‑property searches.

Troubleshoots office equipment: computers, printers, fax machines, addressographs, etc.

Work Rules, Standards, and Competency Compliance

Conforms to hospital standards of performance and conduct, including patient rights and BMC Standards of Behavior.

Seeks constructive feedback, participates in staff meetings, quality improvement projects, and committee meetings.

Complies with all policies, procedures, and regulations (DPH, Joint Commission, Fire Codes, OSHA).

Maintains attendance, punctuality, and appearance per dress code and uniform.

Assists in orientation of new staff and serves as a resource for floating.

Adapts to changing patient and unit needs, including floating and running errands.

Co‑ordinates break periods with charge nurse/supervisor.

Demonstrates reliability in adherence to work rules and policies.

Supports hospital cultural beliefs and mission through decision making.

Other Duties Performs other duties as needed.

Qualifications

High school education or GED required.

One to two years of clerical experience (healthcare setting preferred).

Proficient in English; multilingual skills preferred in languages relevant to BMC’s patient population.

Ability to interpret and use medical terminology and abbreviations.

Proficient with computer software: Microsoft Office (Word, Excel, Outlook) and hospital systems such as SEM, IDX, SDK.

Basic office equipment troubleshooting skills.

Excellent interpersonal and organizational skills.

Physical ability to meet core job requirements and patient care demands.
