Position Summary The Mailroom Associate is responsible for the accurate and timely handling of all incoming and outgoing mail for the mortgage servicing operation. This position ensures that documents, payments, correspondence, and notices are sorted, logged, imaged, and routed to the appropriate departments in compliance with Renovo Financial policies. The Mailroom Associate plays a key role in maintaining operational efficiency and supporting customer service by safeguarding the timely flow of critical loan documents. This position is non-exempt and will be reporting to the AVP of Documents.
Responsibilities
Receive, sort, open, and distribute all incoming mail, including borrower correspondence, payments, legal documents, and regulatory notices.
Prepare outgoing mail and packages, ensuring correct labeling, postage, and tracking when necessary.
Log and scan daily incoming items to create accurate digital records.
Route documents to the appropriate internal department (e.g., Cash, Documents, Escrow).
Handle checks according to company cash-control procedures.
Maintain compliance with servicing guidelines, privacy regulations, and internal controls.
Assist with overnight deliveries, certified mail, and other special handling requests.
Perform daily quality checks to ensure accuracy in imaging, routing, and distribution.
Support other operational teams during peak volumes and special projects.
Maintain a clean, organized, and secure mailroom environment.
Other duties as assigned.

What We Look For
High school diploma or equivalent required; some college coursework preferred.
1-2 years of mailroom, operations, or office services experience; prior mortgage or financial services experience is a plus.
Familiarity with document imaging systems and servicing platforms preferred.
Strong attention to detail with excellent organizational skills.
Ability to manage time effectively in a fast-paced, deadline-driven environment.
Strong communication skills and ability to work collaboratively with internal teams.
Dependable, punctual, and able to maintain confidentiality.
Ability to lift up to 25 lbs. (boxes, mail trays, supplies).
Extended periods of standing, walking, bending, and lifting.
Regular use of office equipment including scanners, postage machines, and computers.
Pay: From $40,000.00 per year
