The Procurement Manager develops and implements procurement strategies to obtain goods and services at the best value, which includes negotiating contracts, sourcing suppliers, managing budgets, and ensuring legal and corporate policy compliance. Key responsibilities involve leading the procurement planning, directing, managing, and/or coordinating the activities of purchasing ingredients, materials, equipment, services, commodities, and utilities, collaborating with other departments, and managing supplier relationships to control costs and minimize risk.
Procurement Manager Responsibilities
Represent company in negotiating contracts and formulation of policies to ensure proper confidentiality or non-disclosure agreements are in place prior to communicating confidential information (including information that may not be labeled as confidential).
Ensure timely responses and communication with all levels of the organization.
Develop and implement purchasing and contract management instructions, policies, and procedures that define scope of role and deliver company needs.
Prepare, distribute, and evaluate responses to requests for pricing and communicate bid awards post company officer approval.
Participate in the development of specifications for equipment, products, or substitute materials.
Locate vendors of materials, equipment, supplies and interview them to determine product/service availability, terms and conditions, and vendor stability.
Prepare and process requisitions, purchase orders and accruals for ingredients, materials, equipment, services, commodities, and utilities.
Resolve vendor or contractor grievances and manage claims against suppliers.
Maintain records of goods ordered and received.
Prepare reports regarding market conditions and ingredients, materials, equipment, services, commodities, utilities costs, and variances.
Develop cost reduction strategies and savings plans periodically.
Review purchase order claims and contracts for conformance to company policy.
Procurement Manager Core Responsibilities
Strategy and planning: Develop and implement procurement strategies aligned with business goals.
Supplier management: Identify, evaluate, and manage suppliers to ensure quality, reliability, and cost-effectiveness.
Negotiation: Negotiate contracts, pricing agreements, and terms with suppliers to secure favorable deals.
Financial management: Manage procurement budgets, track spending against targets, and identify opportunities for cost savings.
Compliance: Ensure all procurement activities comply with corporate policies and relevant regulations.
Team and stakeholder leadership: Lead and mentor a team of procurement specialists and collaborate with departments like finance and operations.
Qualifications
Bachelor's Degree in a related field, or equivalent experience.
Comfortable communicating with people outside the organization, representing the organization to customers, the public, government, and other external sources and exchanging information in person, in writing, or by telephone or e-mail.
Aptitude to mathematically evaluate and present results of RFPs in summary internally and externally as appropriate.
Ability to handle complaints, settle disputes, and resolve grievances and conflicts, or otherwise negotiate with people or companies to resolution.
Accurately manage purchase order system processes.
Proven ability to work in a high pressure, time-sensitive environment.
Experience managing large and complex organizational change projects.
Experience working with executives.
Aptitude to exercise considerable independent judgment, maintain confidentiality, and professional behavior that collectively adds value to company.
Well-organized and self-directed with the ability to work with minimal supervision, including ability to independently identify, research, and resolve issues.
Possess strong attention to detail.
Willingness to travel as needed.
Must be highly proficient or willing to learn Microsoft Access, Excel, PowerPoint, Word, and Outlook.
Working Conditions
This position will require some physical effort such as pulling and lifting.
Repetitive actions such as typing, answering phones, etc.
Sitting and/or standing for long periods of time.
